Requirements
What You Will Do
As the Executive Assistant to the CEO, you will play a critical role in optimizing the CEO's time, ensuring their productivity, and contributing to the overall success of the company. You will be responsible for a wide range of administrative tasks and will act as a gatekeeper and liaison between the CEO and internal/external stakeholders.
Tactical responsibilities will include:
- Calendar Management: Efficiently manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements while prioritizing conflicting requests.
- Communication: Screen and manage incoming emails, calls, and correspondence, ensuring the CEO is well-informed and prepared for meetings and events.
- Meeting Coordination: Prepare meeting agendas, attend meetings, take minutes, and follow up on action items. Coordinate logistics for internal and external meetings.
- Travel Arrangements: Arrange complex travel itineraries, accommodations, and logistics for the CEO's business trips.
- Document Preparation: Draft, proofread, and edit reports, presentations, and other documents as needed.
- Project Support: Assist in special projects and initiatives by conducting research, preparing reports, and coordinating efforts across departments.
- Confidentiality: Handle sensitive information and maintain strict confidentiality at all times.
- Office Management: Oversee the NYC office space, ensuring it is well-organized and stocked with necessary supplies.

- Bachelor's degree preferred.
- Proven experience as an executive assistant or in a similar role supporting C-level executives.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
- Discretion and the ability to handle confidential information.
- Adaptability and the ability to work in a fast-paced environment.
- Excellent problem-solving skills.
