Executive Assistant

If this sounds like you – we are looking for you! PTG is actively recruiting for an Executive Assistant to work in our admin department. This role will report directly to the Chief Financial Officer - but will work hand in hand with other team members and with our customers!
Responsibilities:

• Assist executive team (team of 4) with basic travel plans and manage executive’s calendars, including making appointments and prioritizing the most sensitive matters.
• Manage email triage for CEO.
• Ensure kitchen is stocked with food and supplies.
• Manage office supplies including having supplies on hand and ordering as necessary.
• Organizing internal events, including planning, scheduling, set-up, ordering catering and supplies (as necessary).
• Assist with marketing activities such as mailers, internal signage, and other administrative marketing tasks.
• Answering phone calls in a polite and professional manner.
• Receiving and welcoming visitors.
• Shipping and receiving packages.
• Collecting mail and reporting on checks received.
• Assist with cell phone provisioning.
• Schedule maintenance for company owned vehicles.
• Manage office cleaning company.
• Other duties as assigned.

Qualifications:

• Bachelor’s degree and 1-2 years of professional office work experience as an executive assistant or equivalent combination of education and experience.
• Strong time management skills and the ability to meet deadlines.
• Excellent verbal and written communication skills.
• Strong proficiency in Microsoft Office (Excel, Word, Outlook)
• Strong organizational skills and interpersonal/communication skills; must be able to manage and prioritize multiple business objectives and projects with the proper sense of urgency.
