Executive Assistant
Job Description
UnionMain Homes is looking for a highly skilled Executive Assistant who will assume the responsibility of handling a wide range of executive support and administrative tasks within the CEO’s office.
The individual must be able to multi-task effectively across office management and executive calendar management functions and maintain seamless inbound and outbound communication.
Responsibilities:
- Manage multiple calendars, travel schedules and correspond to the incoming mails, meeting requests, etc.
- Establish a good relationship with all levels of employees across our office locations to accomplish the goals effectively.
- Track and help drive completion of key deliverables and follow-up on outstanding items.
- Manage travel requests and coordinate meetings and events for the executive with well-drafted plans and backup plans monthly, quarterly, and annually.
- Prioritize and execute the critical tasks based on the Executive’s calendar and business goals.
- Confident personality and capable of being persistent when necessary.
- Self-motivated, proactive, and forward-thinking.
- Diplomatic and tactful.
- Extremely detail oriented and organized.
- Maintain a positive attitude and willingness to work with all team members.
- Excellent written and verbal communication skills.
- Must be able to effectively communicate with all levels of internal and external contacts.
- Ability to work independently and multi-task in a fast-paced team environment.
- Discrete concerning confidential or sensitive information.
Requirements:
- 3+ years of administrative/secretarial experience supporting a leadership/executive level position, preferably in real estate.
- Bachelors’ Degree preferredÂ
- Excellent verbal and oral communication skills. Should be able to write precise and concise emails to stakeholders from within and outside the organization.
- Excellent skills across MS Office suite applications with a strong proficiency in MS Outlook.
- Project or program management experience is desired.
- Ability to handle multiple assignments at any given point in time.
- Ability to juggle a variety of office management, ERP, and/or business applications.
- Strong analytical and organizational skills and proven ability to improve the processes.
