Vast is looking for an Executive Assistant, reporting to the Chief Technology Officer. We are seeking a highly organized and proactive Executive Assistant to support our leadership team (including but not limited to our CTO) in managing the day-to-day operations and play a crucial role in providing administrative support, facilitating communication, and contributing to the overall success of our organization and culture.
This will be a full-time, exempt position located in our Long Beach location.Â
Responsibilities:Â
- Handle sensitive information and matters with a high level of discretion and maintain confidentiality
- Skillfully manage and coordinate executive calendars, including scheduling meetings, appointments, and travel arrangements
- Create opportunities and initiatives to bring department team members together with a goal to further team building and team engagement   Â
- Draft, review and send communications on behalf of company executivesÂ
- Prepare and distribute materials for meetings, attend meetings and ensure all documentation is readily available
- Act as a central point of contact, facilitating communication between executives, internal teams and external partners
- Track and manage executive expenses and process reimbursements
- Support executives in various projects, research tasks, and initiativesÂ
- Collaborate with other departments on projects as neededÂ
Minimum Qualifications:
- Bachelor’s Degree
- 3+ years of experience as an Executive Assistant to senior leadership or C-Suite executives
- Advanced proficiency in Google Workspace and MS Office SuiteÂ
Preferred Skills & Experience:
- Bachelor’s Degree in Engineering or related field
- Experience supporting executives in a fast space startup environment
- Network of contacts and vendors within the LA area
- Event and meeting planning Â
- Ability to think outside of the box with a sense of urgency
- Excellent communication, both written and verbalÂ
- High level of attention to detail and accuracy
- Ability to handle multiple tasks and prioritize effectively
- Strong organizational and time-management skills
- A passion for DEI and fostering a positive work cultureÂ
Additional Requirements:
- Ability to be on site daily at our HQ in Long Beach
- Willingness to work evenings and/or weekends to support critical mission milestones
Pay Range:Â
- Executive Assistant: $70,000 - $85,000

Base salary will vary depending on job-related knowledge, education, skills, experience, business needs, and market demand. Salary is just one component of our comprehensive compensation package. U.S. EXPORT CONTROL COMPLIANCE STATUS
The person hired will have access to information and items subject to U.S. export controls, and therefore, must either be a “U.S. person” as defined by 22 C.F.R. § 120.62 or otherwise eligible for deemed export licensing. This status includes U.S. citizens, U.S. nationals, lawful permanent residents (green card holders), and asylees and refugees with such status granted, not pending.
