Job Description

Gunderson Dettmer has an opening for an experienced Executive Assistant in our Silicon Valley office. The Executive Assistant will provide complex and confidential executive administrative support to the Firm’s Chief Operating and Financial Officer, Chief Talent Officer, Chief Marketing Officer and Director of Business Services. The Executive Assistant must possess the ability to anticipate needs, exercise finesse and good judgment in a variety of situations and have strong written and verbal communication, administrative and organizational skills. The Executive Assistant must be able to maintain poise while working under pressure and be able to sustain a realistic balance along multiple priorities.
Job Responsibilities

  • Proactively maintain calendars for the Firm’s Chief Operating and Financial Officer, Chief Talent Officer, Chief Marketing Officer and Director of Business Services, including scheduling, rescheduling and confirming meetings multiple weeks to months in advance.
  • Scheduling of internal and external meetings.
  • Creating and proactively maintaining meeting agendas.
  • Coordinating detailed travel arrangements (domestic and international).
  • Detailed and proactive expense reporting.
  • Create draft presentations, documents, meeting notes, or other materials as requested and/or needed.
  • Plan and execute events including multi-day, multi-person offsite events.
  • Support other ad hoc operational projects and/or organizational updates.

Job Requirements

  • Minimum of five years of legal secretary or executive assistant experience in a law firm or professional services supporting senior partners and/or executives.
  • Advanced proficiency in Microsoft Office Suite software, including Outlook, Word, Excel and PowerPoint.
  • Advanced proficiency in scheduling and calendar management across multiple time zones.
  • Proficiency in handling complex travel agreements, receipt tracking and submittal of expense reports.
  • Excellent interpersonal, written (grammar, spelling, format) and verbal communication skills.
  • Demonstrated problem solving skills.
  • Ability to work collaboratively with all levels of the organization and demonstrate a team-oriented work style.
  • Excellent organizational skills and attention to detail.
  • Ability to effectively handle shifting priorities and adapt to changing demands in a fast-paced, dynamic environment.
  • Strong analytical and reasoning abilities.
  • Adherence to maintaining confidential and sensitive information and display sound judgment.
  • Ability to work outside of regular business hours on occasion.

Educational Requirements

  • BS/BA degree.

Schedule

  • Monday – Friday, 8:30 a.m. to 5:00 p.m. In person or hybrid work schedule is required.

Status

  • Full Time, Non-Exempt.

The expected starting salary is $100,000 to $150,000 annually, dependent upon qualifications and experience.
