Job Description

Overview:

We are looking for a strong and experienced Executive Assistant to provide consistent, high-level general administrative and project management support of our Chief Commercial Officer and the Commercial organization. This individual will be responsible for acting as a professional liaison with internal executives and leaders and high-level external contacts. The successful candidate will have strong Microsoft office skills , project management, communication and creative problem solving. The successful candidate will be distinguished by their ability to organize work, establish priorities, and meet individual and team goals. It is expected that the Executive Assistant will be a highly effective collaborator and communicator. A successful candidate will have a positive attitude and demonstrate a proven track record of working with executive leadership.

Key Responsibilities:

  • Provides executive administrative support for the Chief Commercial Officer, and other executives as necessary, including assistance with department goals, meetings, calendar, travel, expense reports, etc.
  • Develops & manages various team collaboration sites and document repositories and distribution lists - Assists with the hiring and onboarding of new team members.
  • Acts as a key contact both internally and externally.
  • Manages and prioritizes internal and external communications including emails, arrangement of conference calls and Zoom meetings; prepare formal agendas and other communication/meeting materials for internal and external use.
  • Arrange and provide support for meetings including team meetings and training, as well as team building events; requires strong organizational and planning skills, including interface with catering, audio visual setup, etc.
  • Supports agenda development, meeting minutes, manages files in BOX folders and repositories for large team meetings.
  • Depending on prioritization and bandwidth may provide additional support as needed for the greater department, including travel coordination, cross-functional team calendaring, preparing slide decks for presentations, onboarding of new team members, business supplies & materials, etc.
  • Participates as integral member of company-wide Executive Admin (EA) team and participates in EA team meetings, initiatives, and coverage for additional executives, as needed.
  • Appropriately manage information of a highly confidential and critical nature - Serves as a subject matter expert for P2P (Procure to Pay) and liaises with FP&A team.
  • Provide additional support as needed for broader Commercial organization including travel, calendaring, scheduling ad-hoc meetings and coordinating guests.
  • Perform other duties as assigned. Β 

EDUCATION:

  • H.S. diploma, vocational training, certification, or equivalent.
    Associate or BS degree preferred.

EXPERIENCE REQUIRED:

  • At least 5-7 years experience working with senior-level executives, with at least 3-5 years supporting the C-level executive, preferably in biotechnology or the pharmaceutical industry.

REQUIRED KNOWLEDGE:

  • Highly proficient with use of computer applications like Windows, Word, Excel, PowerPoint, Outlook. Functional and technical depth in many areas of administrative practice.

The anticipated salary range for candidates who will work in Newark, California is $110,000 - $135,000. The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the job, type and length of experience within the industry, education, etc. CymaBay is a multi-state employer, and this salary range may not reflect positions that work in other states
