Executive Assistant
Job Description
The Executive Assistant provides day-to-day support to the Leadership Team and Office Manager. This position is able to handle multiple responsibilities in a fast-paced environment. The ideal candidate is detail-oriented, positive team play with strong communication skills. This position is required to be onsite and reports to the COO.
**This position is located in Dallas, TX **
Duties and Responsibilities:
Administrative Support
- Establish administrative processes and workflows to achieve company goals
- Provide day-to-day administrative support to key members of the Company including calendar and travel support, client communication and other business meetings
- Consult with leadership as needed to solicit and provide critical updates, and to coordinate information and priorities
- Coordinate catering for trainings, company meetings and functions
- Compile information/slides from the leadership team for presentations
- Manages scheduling for conference rooms and meeting requests
- Assist leaders with expense reports and filing
- Work closely with other administrative staff on shared travel arrangements, meetings, agenda compilation, briefings, and internal department events
- Respond to a wide variety of requests for information, policies and procedures, and executive action
- Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence and overseeing supplies and equipment
- Independently performs special projects as needed and requested
Required Skills and Abilities:
- Strong command of MS Office Suite and G-Suite and Zoom.
- Excellent verbal and written communication skills.
- Exceptional organizational skills, ability to maintain multiple priorities and seek assistance when projects may compete.
- Strong emotional intelligence and passion for building relationships across all levels of an organization.
- Strong analytical and problem-solving skills.
- Ability to function well in a growth-oriented, nimble environment.
- Focused attention to detail, execution of tasks, and follow-up.
- Outstanding interpersonal skills and the ability to work independently and in a team setting.
- Ability to maintain multiple priorities and seek assistance when projects may compete.
- Must be flexible and willing to take initiative.
- Successful candidates will be autonomous and will be able to handle highly confidential information with discretion.
Education and Experience:
- Bachelor’s degree or relevant industry experience in lieu of a degree is required
- 3+ years of experience, particularly in the life sciences or tech industry is required
- Experience directly supporting a C-Suite executive is preferred
