Job Description

Overview:

This is a really exciting role supporting three (3) Vice Presidents! You will be at the forefront of Systems Integration, Software Deployment and Mobile Video Solutions’ management tasks, running department operations in a timely manner and gaining an in-depth understanding of the Motorola Solutions business. 

The main responsibilities of the Executive Assistant include:

  • Meeting management, for example, Project Reviews, Budget Reviews, Staff Meetings including all arrangements, catering and logistics for both in-house and offsite, attending and taking meeting minutes as required

  • Setting up Town Hall events and sending invitations

  • Being a point of contact for the VPs office(s), and field calls/emails as needed

  • Managing and maintaining calendars and appointments; assisting in forward planning/scheduling 

  • Expense submission for the VPs

  • Maintaining up-to-date organization charts

  • Making travel arrangements 

  • Taking ownership of North America Systems Integration and Software Deployment Communications including assisting with the maintenance of the Batchat page and drafting announcements 

  • Ad hoc basis administration support where required; attending ad hoc meetings/training sessions to facilitate good collaboration, communication and efficiency.

Specific Knowledge and Skills:

  • Highly competent in the use of MS Office, especially Excel (data sorting, formulas, pivots, graphs)

  • Experience with the use of Microsoft PowerPoint and/or Google Slides

  • Knowing how to utilize software programs, traverse computer systems, and handle typical tech issues is a strong plus

  • Excellent written and verbal communication

  • The ability to prioritize workload in order to carry out tasks and responsibilities in a professional, client-friendly, and independent manner

  • Effective time management, good organizational skills with the ability to multi-task

  • Consistently deliver to deadlines, and commitments and regularly contribute by taking an enthusiastic approach, demonstrating energy to own and manage workload

  • Recognize where flexibility is needed and demonstrate the ability to step outside role where required

  • Strong interpersonal skills

  • Energetic and eager to tackle new projects and ideas

  • Resourceful, can-do attitude

  • Strong attention to detail.

Basic Requirements
  • Bachelor's Degree (Preferred)

  • AND three to five years’ prior experience in supporting a senior executive or team

  • Legal authorization to work in the U.S. indefinitely is required. Employer work permit sponsorship is not available for this position.
