The Executive Assistant provides administrative support for one of our executives. They proactively connect their leader with key stakeholders and prioritize scheduling based on the leader’s initiatives. The Executive Assistant provides support for their leader on business matters of significance with a willingness to pitch in and do what’s needed in a dynamic and fast-paced environment.Â
Responsibilities
- Process and distribute a high volume of internal and external mail, email and voicemailÂ
- Schedule and coordinate appointments and meetingsÂ
- Prepare travel arrangementsÂ
- Organize and record financial transactions and dataÂ
- Organize schedules and prioritize meeting requests by working proactively to mitigate scheduling conflictsÂ
- Take notes during meetings that their executive leader attends and communicate action items from the meetingsÂ
- Conduct research, compile data, and prepare drafts of team meeting proposals, presentations and emails for presentation by executive leaders
- Act as a liaison between the executive leader and all stakeholdersÂ
- Act as a sounding board for the executive leader’s new ideas and initiatives
- Make decisions on matters of significance on behalf of the leaderÂ
- Review inquires directed to their executive leader and determine the proper course of action to complete the request or complete the request on behalf of their leaderÂ
Minimum Qualifications
- 4 years of experience in administration in a related business areaÂ
- Advanced knowledge of the business area/team of leader supportedÂ
- Some experience managing initiativesÂ
- Proficiency in the Microsoft Office suiteÂ
Preferred Qualifications
- 6 years of experience in administrationÂ
- Bachelor’s degree or equivalent experienceÂ
- Understanding of project/program development and implementationÂ
- Understanding of the strategic goal of the business area in relation to the overall organizationÂ
