Forge is based in Columbus, Ohio, in a 200,000 square foot facility known affectionately by team members as, the Hearth. The Hearth, is a custom-designed cGMP facility dedicated to AAV manufacturing and hosts scalable, end-to-end manufacturing services.Â
About The Role:Â
We are currently seeking an Executive Assistant to join the Forge Biologics team. This is an exciting opportunity to join a high growth manufacturing company and assist members of the leadership team. The ideal candidate will have excellent communication skills, experience supporting executives’ calendar and travel needs, and familiarity with day-to-day enterprise needs. The position will provide support to the multiple leadership team members.
What You’ll Do:Â
- Provide calendar scheduling and management for the assigned leaders
- Collect and prepare information for meetings with staff and external parties
- Coordinate travel arrangements and complete monthly expense and mileage reports
- Draft and distribute communications from the leaders to internal and external audiences
- Design and produce documents, reports, and presentations
- Coordinate team meetings, leadership retreats, and assist with larger staff meetings and events as needed
- Maintain deadlines for abstracts, conferences, and talks; appropriately notify internal and external co-authors about upcoming/completed submissions; coordinate review of abstracts, presentations, and posters with broader team
- Prepare leaders conference schedule annually
- Prepare meeting agendas and presentations for assigned leaders meetings with other C-suite executives
- Anticipate the needs of the executive & leadership team and keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Build strong working relationships with executive & leadership team; act as a "barometer" for issues taking place and keep the executive updated
- Maintain documentation and minutes of meetings organized by assigned leaders
- Collaborate with other departments to support various special projectsÂ
- Propose and implement processes to improve executive & leadership team’s efficiency
- Partner with the broader administrative team, to assist with company-wide projects and programs led by the departmentÂ
What You’ll Bring:Â
- 5+ years’ experience as an Executive/Administrative Assistant, supporting SVP+ level leaders
- Previous experience supporting executives’ calendar and travel needs
- Excellent interpersonal and communication skills (written and verbal)
- Ability to handle multiple tasks, projects, competing priorities and tight deadlines simultaneously while maintaining quality
- Demonstrated ability to maintain high level of professionalism and confidentiality while fostering trust, respect, cooperation, and collaboration across the organization
- Strong organizational skills and attention to detail
- Strong ability to operate in ambiguity and work collaboratively to obtain information needed to problem-solve, meet deadlines, and provide effective and efficient support
- Ability to travel up to 10%
- Experience with Microsoft Office suite (Excel, Word, PowerPoint, Teams, etc.) is preferred

Work Environment and Physical Demands
This position works in a typical office environment where the physical work demands will vary depending on the specific tasks and duties required of the job. This is largely a sedentary role; persons holding office positions are generally subject to inside environmental conditions having the lighting, temperature, and noise of an open floor-plan office environment. Regularly operate a computer and other office equipment. Regularly communicate with others in person, over the phone, and electronically. Must be able to move and/or carry objects weighing up to 10 lbs.Â
