About the role:

We are searching for a professional, polished Executive Assistant to support our VP of Engineering and GM of Retail Media.

You will not only be their right hand partner but will play an integral role inside their organizations as you will have a high amount of visibility into their day-to-day and work cross-functionally across the company. You will own all administrative, logistical, and project-related tasks to support our VP of Engineering, GM of Retail Media & Chief ML Fellow.

We are looking for someone who is a great communicator and thrives in a hyper-growth, multi-cultural environment. It’s imperative that you’re able to juggle fast-changing priorities, all while incorporating the highest degree of integrity, discretion, professionalism and can-do attitude. 

Our ideal candidate would be located in Silicon Valley. This will be a hybrid role, based in our Redwood City, CA headquarters 2-3 days a week. Our plush, modern HQ is walking distance from Cal-train, has free garage parking and is stocked with amenities.

Responsibilities:

  • Provide high-level administrative support to two global executives:, and some team-level support
  • Manage and maintain sensitive and complex calendars of in-person, video, and external meetings across multiple global time zones; while working closely with senior leaders and other EAs within the organization
  • Manage and execute the team meetings: logistics, preparing presentations decks/templates, and data records
  • Coordinate logistics for department on-sites/off-sites, ad hoc events and leadership meetings within budget. Ideally attend in-person and oversee logistics when relevant 
  • Coordinate flawless extensive international and domestic travel
  • Manage and oversee expense reports for Engineering and Retails media teams
  • Prioritize conflicting needs  and have a "one-step" ahead mentality 
  • Provide general administrative support, such as email, international currency expense reporting, team drive, and contact database management
  • Partner internally and externally on arranging board meetings with key stakeholders. Ensure stakeholders are advised of deadlines
  • Capture and distribute notes and action items from team meetings. Follow up on deliverables and OKRs as needed
  • Create efficient workflows and processes to help maximize your executives' time

Qualifications 

  • 5 + years of successful experience supporting executives, ideally at high-growth technology companies
  • Familiarity with standard technology computer systems and the ability to learn new programs as needed
  • Bachelor’s degree and/or equivalent work experience
  • Successfully navigating the challenges of working within complex, international environments
  • Ability to anticipate needs, complete a high volume of tasks while working independently with discretion
  • Experience with meeting planning and execution
  • Strong communication skills and the ability to communicate at all levels of the organization

Our Compensation And Benefits (for California & New York State Residents Only)

Base Compensation Range: $110,384.00 - $165,576.00

In accordance with California & New York state law, the range provided is a reasonable estimate of the base compensation for this role. The actual amount may be higher or lower, based on non-discriminatory factors such as experience, knowledge, skills and abilities. We also offer a competitive benefits package.
