About the Role
DebtBook is seeking a full-time, in person (Charlotte NC) Executive Admin/Office Manager to join our fast-paced, growing SaaS company. This individual will work closely with our Executive and People teams to perform a broad variety of administrative tasks in a fast-paced work environment. This role provides administrative support to our Executive team and supports the day to day in-office experience of our team. Teamwork is integral to this role and the ability to work well with all levels of internal team members as well as outside clients and vendors is required.
What You’ll Do
- Manage day to day operation of our CLT based office, including maintaining office supplies and provisions, partnering with property management to address concerns, and coordinating repairs and maintenance issues
- Provide administrative support to select members of the Executive team
- Support Executive team meetings, strategic priorities, and major projects to help coordinate activities across teams and track outcomes
- Work directly with Finance and Operations to help coordinate logistics for office moves, including managing furniture and equipment orders, coordinating with contractors and brokers, and liaising with landlord and property management teams
- Manage complex calendars to protect Executive team resources and help coordinate meeting and event logistics to ensure efficient use of the Executive team’s time
- Serve as a liaison to the Board and investors
- Help manage Executive team budgets and track and submit regular reports for related expenses
- Arrange complex domestic travel itineraries
- Monitor and restock office supplies
- Maintain confidentiality, work in a fast-paced environment, make informed decisions, and work independently and efficiently with accuracy in high pressure situations
- Assist in editing, formatting, and printing presentations and documents using PowerPoint, Word, Excel and PDF
- Capture and maintain data and information relevant to the Executive team in the Company’s software platforms (e.g., HubSpot, Asana, Lattice, etc.) Â

- Some off-hour availability may be required in connection with events, Board meetings, etc.

- Handle confidential information with diplomacy and discretion
- Excellent organizational and time-management skills, with the ability to prioritize workload, multitask, and work under pressure to meet deadlines
- A self-starter with a high degree of energy and careful attention to detail
- Strong sense of initiative and a process-improvement mindset
- Experience coordinating complex calendars & managing expenses for multiple team members
- Tech-savvy and excellent computer skills. Proficient in MS Office (Excel, Word, and PowerPoint), G-suite, Slack and Zoom
- Experience booking travel and coordinating office move logistics a plus
