The Role

IEQ Capital is looking for a motivated professional to join our Foster City-based team as an Executive Assistant. The Executive Assistant will work closely with the rest of the team to manage important elements of the CEO’s day-to-day responsibilities. Duties and responsibilities include, but are not limited to the following:

  • Heavy calendar management; scheduling meetings, anticipating conflicts, booking conference rooms
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the CEO’s behalf.
  • Facilitate all travel arrangements (air, rail, hotel, car service, etc.)
  • Perform general clerical duties including, but not limited to, photocopying, faxing, scanning, mailing, filing, uploading documentation to proper sources, distributing mail, expense reporting, etc.
  • Managing the CEO’s calendar, including making appointments and prioritizing the most sensitive matters.
  • Lead and manage special projects as they arise on behalf of the CEO and Partners, ensuring progress and completion of high priority projects
  • Anticipate the needs of the CEO and determine the best ways to free up their time.
  • Coordinate with multiple departments to service client and prospect needs.
  • Greet clients and direct them to appropriate conference rooms.
  • Coordinate miscellaneous personal items, including but not limited to scheduling medical appointments, making dinner reservations, booking calls or meetings during working hours with third parties, etc.

Qualifications

  • 4-5 years of experience supporting Executives and management of the office.
  • Candidate must thrive and be able to keep up with an everchanging, fast-paced environment.
  • High-level of integrity and intelligence.
  • Must be able to think critically, effectively, anticipate issues.
  • Must have high attention to detail in all aspects of the role, work quickly and accurately.
  • Exceptional organizational and communication skills.
  • Good relationship buildings skills both inside and outside of the organization.
  • “No task is too small” mentality.
  • Bachelor’s degree is required.

Compensation 

The total compensation range for this role, inclusive of base salary and bonus, is $120,000 - $150,000, depending on skills and experience.
