About this role

The purpose of this job is to support the Leadership Team in all administrative matters, including calendar and inbox management, meeting and conference call facilitation, Travel & Expenses and preparation of correspondence, Power Point and Excel presentations.

Also, the Executive Assistant will coordinate the organization of Events in the office for Biogen Employees, and also external meetings.

What you'll do

  • Organization of meetings, caterings, conference calls and travel logistics (hotel, transportation, transfers)
  • Preparation of documents, reports and presentations
  • Translation of documents
  • Communication with internal and external customers
  • Leadership Team Expense reports and own expenses
  • Leadership Team travel booking through an agency
  • Arrange LT meetings and help with Outlook calendar
  • Event Planning
  • Management and updating of physical and electronic files
  • Ad-hoc support to other departments and affiliates in translations, logistics or processes
  • Contract & Purchase order’s management
  • Cross-functional & team-work within the affiliate and international offices
  • Work in an assistant pool and Ad-hoc Back-up support to other Assistants
  • Planning to optimize Manager’s time & resources and meet deadlines

Who you are

You are a dynamic and self-motivated person with good relationship building skills who is used to work in an international environment at top management level. You are a flexible and highly organized person, willing to work in a cross-functional environment.

Required Skills

  • Bachelor’s Degree or Commercial Education
  • A minimum of 5 years of experience on a similar role
  • Strong verbal and written communication abilities (fluency in English is a prerequisite)
  • Excellent interpersonal skills and strong team orientation
  • Exceptional organizational skills with a demonstrated ability to work in an accurate manner when under pressure
  • High-level proficiency with MS Office, especially PowerPoint and Excel
