Executive Assistant
Job Description
Location: San Francisco, California or Washington, DC
Job Summary:
We are seeking an experienced Executive Assistant to provide comprehensive support to a member of SHEIN executive leadership team. The ideal candidate should possess exceptional administrative skills, written and verbal communication skills, and be comfortable working in a fast-paced environment. The ideal candidate will have some experience in light project management, enabling them to handle various tasks simultaneously and assist in the smooth execution of some projects.
Responsibilities:
Calendar and Schedule Management:
- Manage and coordinate the executive's complex calendar, including arranging meetings, appointments, and conference calls across multiple time zones.
- Prioritize and organize commitments, ensuring the executive's schedule is optimized and all deadlines are met.
- Coordinate travel arrangements, itineraries, and accommodations for both domestic and international trips.
Communications and Correspondence:
- Act as the primary point of contact, effectively screening and managing incoming calls, emails, and correspondence.
- Draft and prepare various written materials, including emails, with a keen attention to detail.
- Maintain a high level of confidentiality when handling sensitive information and communications.
Meeting and Event Coordination:
- Prepare and distribute daily team briefing materials, meeting agendas, minutes, and supporting documents for internal and external meetings.
- Coordinate logistics for meetings, conferences, and special events, including venue selection, catering, audiovisual requirements, and travel arrangements.
- Provide support during meetings, take accurate minutes, and follow up on action items as needed.
Project Management:
- Assist in light project management activities, including creating and managing project plans, tracking milestones, and monitoring progress.
- Collaborate with cross-functional teams, ensuring effective communication and coordination throughout the project lifecycle.
- Support the executive in prioritizing and delegating tasks to meet project deadlines.
Relationship Management:
- Build and maintain strong relationships with internal and external stakeholders, including senior executives, clients, and partners.
- Serve as a liaison between the executive and various departments, facilitating efficient communication and coordination.
- Manage and organize contact lists, ensuring accurate and up-to-date information.
Qualifications:
- Bachelor's degree preferred.
- 5 to 7 years of experience as an executive assistant supporting C-level executives or senior global executives.
- Excellent organizational and time-management skills, with the ability to prioritize and multitask effectively.
- Strong verbal and written communication skills, including exceptional editing and proofreading abilities.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools.
- Experience in light project management, with a solid understanding of project management principles.
- High level of discretion and confidentiality when handling sensitive information.
- Proactive mindset, with the ability to anticipate needs and take initiative.
- Exceptional attention to detail and accuracy.
- Flexibility to adapt to changing priorities and work under pressure.
- Professional demeanor and the ability to maintain composure in high-pressure situations.
Pay: $46,300.00 min. - $65,800.00 max annually
