Executive Assistant
Job Description
Marcus & Millichap is looking for an Executive Assistant to provide professional support to a top producing Retail Broker in their Seattle office. Candidates must be extremely dependable, organized, proactive, and detail oriented. Additionally, the candidate must have exceptional follow-through, have the ability to work in a fast-paced environment, highly motivated, possess exceptional computer skills, as well as written/verbal communication skills business writing. The ability to multitask under pressure and anticipate needs is a must. The Candidate will also be responsible for screening calls, emails, and all incoming requests from clients and team members. The Candidate will also be managing the executive’s work and personal calendar, business and family travel plans, and personal and business errands needed throughout the working week.
Primary Responsibilities:
- Manage bookkeeping, bill paying, account transfers, and on-site bankingÂ
- Obtaining expense receipts, report creation, submission, and trackingÂ
- Establish, develop, maintain and update filing system for the executive and department. Retrieves information from files when neededÂ
- Manage and sort emails dailyÂ
- Screen incoming calls and requestsÂ
- Manage and coordinate calendar, as well as confirm daily appointmentsÂ
- Draft and prepare written communication to clients and team membersÂ
- Schedule meetings, conference calls, travel plans, and lunchesÂ
- Prepare target client lists in order for the lead agent to prospect new businessÂ
- Draft written responses or replies by phone or email. Responds to regularly occurring requests for informationÂ
Required Skills:
- 5+ years of Executive or Personal Assistant experience requiredÂ
- Personal finance, banking, and bookkeeping experience requiredÂ
- Quickbooks or other expense software knowledge and proficiencyÂ
- Must be tech savvy; Excellent computer skills including proficiency in Microsoft Applications to include Excel, and WordÂ
- Ability to prioritize tasks and work efficiently under pressureÂ
- Service-oriented attitude and professional demeanor with great interpersonal skillsÂ
- Proven track record of being on time and dependableÂ
Preferred Skills:
- Experience in the commercial real estate industryÂ
- CRM database familiarity a bonus, but not necessaryÂ
