Join our team and make a positive impact on the lives of others! We are looking for an Executive/Personal Assistant for our CEO.
This is an in-office/on-site role with time divided between our Lake Success, NY and New York, NY offices.
Department & Position Overview:
This Executive/Personal Assistant will support FreedomCare’s CEO across multiple verticals. This role will be supporting the CEO to strategically manage his time and priorities in an exciting and fast-growth environment.
Everyday You Will:
- Provide administrative support to FreedomCare’s CEO encompassing a variety of tasks including (but not limited to):
- Proactively manage complex calendars and scheduling
- Coordinate virtual and in person meetings; prepare for meetings by arranging meeting sites, create and provide necessary documents/presentations, contacts meeting attendees as needed
- Coordinate and arrange all logistics for senior leadership meetings and events: draft agendas, develop and distribute meeting materials; record and share meeting minutes when necessary
- Coordinate and organize external business meetings
- Partner closely with the CEO to keep them informed on upcoming commitments and responsibilities; follow up as needed
- Act as a primary point of contact for the CEO for internal and external inquiries, including confidential inquiries
- Act as a gatekeeper for seamless communication between the CEO and the internal team and external partners by regularly drafting internal/external communications, reports, etc.
- Manage travel arrangements including flights, hotels, & ground transportation
- Identifying gaps in tasks or processes and create solutions; make sound judgments and recommendations to ensure a smooth day-to-day
- Assist with special collaborative and independent projects
- Complete personal tasks on a regular basis including (but not limited to):
- Pick up and sort mail from CEO’s home
- Process payments for bills in a timely manner
- Create expense reports on a monthly basis
- Schedule appointments for CEO and his family as needed
- Take cars to be cleaned and serviced when needed
- Run personal errands on an ad hoc basis
- Assistance with bookkeeping responsibilities as needed
Ideal Candidate Will Possess:
- 4-7+ years of relevant experience supporting senior level leaders
- Driver's license and own reliable transportation
- Ability to manage concurrent tasks with a strong degree of accuracy
- Ability to work with discretion and tact to handle confidential information
- Strong typing skills; comfort using a spreadsheet and other reporting tools
- Experience in Microsoft Suite (Word, Excel and PowerPoint)
- Exceptional verbal and written communication skills, including proofreading, grammar, spelling with a high level of accuracy
- Ability to multitask and prioritize competing priorities with a strong sense of urgency
- Strong organizational and time management skills
- Ability to work independently, set goals, create and implement action plans and make significant progress towards goals
- Highly detail-oriented, being able to connect the dots across multiple touch points (emails, meetings, etc.)
- Ability to manage multiple priorities and make clear and timely decisions
- Ability to calmly manage interruptions and changing priorities; complete tasks with or without established procedures
- You are agile and thrive in a fast-paced, changing environment
- You are a team player with positive “can do” attitude
Nice-to-Haves:
- Experience working within in a growing start up environment
- Prior experience in accounting/bookkeeping

At FreedomCare, base pay is one part of our total compensation package and is determined within a range. This provides our employees with the opportunity to professionally grow and develop within a role. The base pay range for this role is between $70,000 and $80,000 per year at the commencement of your first year of employment. Compensation decisions are dependent upon a variety of factors which may include, but are not limited to: skill set, years of relevant experience, education, location, and licensure/certifications.
