Purpose and Scope of Position

Project Farma’s Executive Leadership Team is a dynamic, high-energy team looking for an Executive Assistant who enjoys working on a variety of projects in a fast paced and agile environment. The Executive Assistant will ensure Leadership’s productivity is enhanced by managing and anticipating needs, serves as a valued member of the team and fosters strong working relationships. The ideal candidate is proactive, articulate, and highly organized. 

Responsibilities of the Executive Assistant include but are not limited to: 

  • Provide daily support to Executive Level Leadership in a fast-paced environment while remaining flexible, proactive and efficient:
    • Coordinate and manage multiple complex calendar schedules with thoughtfulness and advanced planning
    • Coordinate and attend meetings with internal and external participants including creating meeting materials, managing meeting logistics, and taking meeting 
      minutes
    • Assist in the creation of PowerPoint decks for companywide events and executive meetings
    • Plan and coordinate all aspects of domestic and international travel using discretion, sound judgment, cost analysis, and thoroughness; proactively troubleshoot and addresses travel conflicts when needed
    • Prepare accurate expense reports with required documentation
    • Review, prioritize, flag and respond to high priority communications (emails and documentation)
    • Act as a liaison between internal and external groups including drafting, formatting and distributing communications 
  • Proactively look for ways to make processes more efficient
  • Perform special projects and/or additional duties as assigned
  • Provide cross functional support to other departments including Human Resources, Marketing, and Business Infrastructure as needed

The successful Executive Assistant must have/be:

  • Bachelor’s degree or equivalent experience
  • Minimum 3 years of experience providing administrative support to senior level leadership
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
  • Self-motivated with a strong attention to detail
  • Excellent organizational skills and multi-tasking capabilities with the ability to prioritize multiple critical tasks and proactively communicate status effectively
  • High level of commitment and attention to detail with forward-thinking capabilities; ability to anticipate needs and potential obstacles
  • Great soft skills, excellent verbal and written communication
  • Demonstrate strong personal attributes that include: dedicated work ethic, teamwork, professionalism and the ability to see the "big picture"
  • Ability to work independently, anticipate next steps and exercise discretion and confidentiality
  • Ability to effectively prioritize competing requests and switch focus as needed
