About Us: Cotronics is a leading manufacturing and distribution company of high temp adhesives, based in the vibrant borough of Brooklyn, New York. We are seeking a dynamic and highly organized Executive Assistant to support the President.

Position: Executive Assistant

Responsibilities:

Administrative Support:

  • Manage the President's calendar, schedule appointments, and coordinate meetings.
  • Maintain and update itineraries for internal meetings.
  • Screen and prioritize incoming emails, calls, and correspondence.
  • Prepare and edit documents, reports, and presentations as needed.
  • Prepare (or assist with) meeting agendas, attend meetings and record minutes.
  • Ensure the President is well-prepared for all meetings with necessary notes/materials/information.
  • Follow up on action items resulting from meetings.

Communication and Coordination:

  • Act as a liaison between the President and internal team members and selected external vendors and/or clients.
  • Coordinate and organize special projects as directed by the President.
  • Prepare correspondence to internal team and to outside clients/vendors as needed and directed.
  • Keep the President organized by proactively staying ahead of (and anticipating) what is coming due (projects/meetings/etc.).

Information Management:

  • Maintain confidentiality and handle sensitive information with discretion.
  • Organize and maintain electronic and hardcopy files for the President.
  • Conduct research and compile data to assist the President with projects that require detailed analysis.

Qualifications:

  • Bachelor’s degree in business administration or related field preferred.
  • Proven experience as an executive assistant or similar role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to handle sensitive and confidential information with discretion.
  • Detail-oriented and able to work independently with minimal supervision.
  • Prior experience working in an administrative role in a manufacturing company, a plus.
