The RoleÂ
As an Executive Assistant to the Chief Technology Officer (CTO), you will be a key member of Metropolis’ administrative team and work closely with an executive leader to maximize efficiency and help drive results. In this role, you will provide administrative support including calendar management, travel coordination, and office management assistance for our Santa Monica, CA and Seattle, WA offices. You will also help plan events, project manage key technology-oriented initiatives, track priorities, and contribute to the overall culture of the organization. Â
Responsibilities:Â
- Provide high-level administrative support and assistance to the CTO
- Own calendar management including communicating with internal and external stakeholders to schedule, coordinate and confirm meetings, travel, and other appointmentsÂ
- Develop an understanding of the company's culture, policies, and best practices as well as the CTO’s working style to easily prioritize meetings and tasks independentlyÂ
- Provide updates to key stakeholders regarding the executive’s schedule, priorities, and needs from the teamÂ
- Partner with administrative team to develop and maintain operating cadences at the leadership and department levelÂ
- Plan and organize travel, including booking flights, hotels, transportation, and managing travel expenses, ensuring that travel plans align with the executive's schedule and preferences as well as company policiesÂ
- Support and or project manage key people team related projects such as events, meetings, off-sites, presentations, agendas, and other correspondenceÂ
- Manage office supplies and tasks for both our Santa Monica, CA and Seattle, WA offices
- Ensure the CTO is prepared for meetings including gathering or distributing materials, providing relevant research, note-taking, etc. Â
- Provide general administrative support such as filing paperwork, expense reporting, invoice processing, and other tasks to facilitate the smooth operation of the executive's office
- Maintain strict confidentiality and discretion in handling sensitive information and discussions
- Represent the executive and the Metropolis professionally and courteously in all interactions, internally and externallyÂ
Qualifications:Â
- High school diploma required; Bachelor's degree in Business Administration or related field preferredÂ
- At least 4 years of related experience requiredÂ
- Excellent verbal and written communication skillsÂ
- Excellent organizational skills and attention to detailÂ
- Excellent time management skills with a proven ability to meet deadlinesÂ
- Ability to function well in a high-paced and at times stressful environmentÂ
- Extensive knowledge of office administration, clerical procedures, and record keeping systemsÂ
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated softwareÂ
- Experience supporting technical projects is preferred

The anticipated base salary for this position is $80,000.00 to $105,000.00. The actual base salary offered is determined by a number of variables, including, as appropriate, the applicant's qualifications for the position, years of relevant experience, distinctive skills, level of education attained, certifications or other professional licenses held, and the location of residence and/or place of employment. Base salary is one component of Metropolis’s total compensation package, which may also include access to or eligibility for healthcare benefits, a 401(k) plan, short-term and long-term disability coverage, basic life insurance, a lucrative stock option plan, bonus plans and more.Â
