The vision of the Office of the Chief Technology Officer (OCTO) is to shape the future, by learning from the past, while assuring the present. We accomplish this with a unified methodology that addresses our customers' current and future needs, advancing the space architecture through prototyping for rapid technology development and insertion. This eliminates barriers to deeper, interdependent partnerships with allies, commercial providers, and academia, enabling innovative solutions for the Space Enterprise.
The CTO/VP leads four offices: Hubs (assessing promising new technologies); iLab (developing investment strategies in innovative technologies and advanced concepts); xLab (building and operating prototypes); and the newly formed Commercial Space Futures (CSF) office (driving the harnessing of commercial solutions for government missions to advance U.S. space). The CTO also manages the company's internal R&D program and the Aerospace Technical Fellows program, with the company's top 30 engineers and scientists. The CTO focus for FY22+ involves three key strategic initiatives covering: customer engagement and Impact - mantra "Real stuff exits", OCTO Portfolio value, and top technical talent.
We are looking for an experienced Executive Assistant that can provide strategic-level support to the Chief Technology Officer/Vice President and their team, by demonstrating collaborative administrative leadership to ensure effective and efficient group operations. This is a dynamic partnership where you will be contributing to implementing the strategy and goals of the organization, forward thinking and take initiative to solve problems with independence to positively impact the business and daily operations. This position requires mastery of administrative functions, demonstrated leadership abilities, strategic execution of tasks, and project management with extreme competency.
Work Model
  • Hybrid - Allows flexibility in telecommuting depending on the needs of the executive, team and customer.

What you'll be doing
  • Executes strategic and proactive calendar/meeting/event planning, management, and conflict resolution
  • Coordinates complex local and international travel and expense reporting
  • Manages special projects
  • Prepare, format, and maintain records of annual, semi-annual, and quarterly corporate reports, weekly reports, and periodic division products and presentations while tracking progress to meet deadlines
  • Coordinates various operational tasks/requirements on behalf of the group across the corporation
  • Organizes and prioritizes critical issues and information for the executive(s) to facilitate efficient decision making
  • Provides input and feedback into management team activities and decisions
  • Drafts and prepares various correspondence, emails, letters, presentations on behalf of executive(s)
  • Handle sensitive and personnel related information appropriately and support sensitive management functions
  • Act as ambassador, partner, and point of contact for executive with frequent interaction with Board of Trustees, corporate management, various levels of internal management, as well as government customers, contractors, and other high-level officials
  • Maintains and improves processes/systems that provide superior organization, efficiency, and industry-lead technical best practices
  • Lead and mentor other administrative assistants, within the group and across the corporation, and is a role model by demonstrating the highest level of professionalism, team collaboration, technical expertise, and leadership behavior that is consistent with the company's values

What you need to be successful
  • High School Diploma, GED or equivalent
  • Mastery of Microsoft Office applications including Outlook, Word, PowerPoint, Teams, SharePoint and Excel
  • Highly proficient in meeting tools such as Skype, MS Teams and Zoom
  • Ability to lean forward and anticipate needs
  • Excellent writing and proofreading skills
  • Extensive experience with managing calendars and travel
  • Discretion, dependability, organization, and attention to detail
  • Ability to independently prioritize and oversee multiple tasks
  • Ability to work both independently and cooperatively within a team
  • Ability to obtain and maintain a security clearance, which is issued by the US government (U.S citizenship is required to obtain a security clearance).
