Executive Assistant (f/m/d)

We are seeking a professional, experienced Executive Assistant for our German HQ in Wuppertal. In this exciting role, you will be working for and with our Senior Director AI/ML.

The role operates in a dynamic, rapidly changing environment which requires flexibility, adaptability and initiative, as well as excellent organizational and problem-solving skills.

Also, you would be required to interacting with staff at all levels, while maintaining a high level of professionalism.

Your role:

• Coordinate daily calendar of the Senior Director

• Plan appointments and events 

• Act as the point of contact between executives and employees/clients 

• Create regular reports, presentations and update internal databases 

• Make travel arrangements 

• Manage phone calls and emails 

• Respond promptly to managers' queries

• Facilitate internal communication (e.g. distribute information and schedule presentations) 

Your background:

• Extended experience (5+ years) working in executive assistant roles for international corporations

• High school diploma or bachelor degree

• Fluent German & English language skills

• Knowledge of office procedures

• Excellent organizational skills with an ability to think proactively and prioritize work

• Strong computer skills and solid experience with office management systems, ERPS and MS Office

• Familiarity with online calendars and cloud systems

• Strong listening and communication skills (via phone, email and in-person)

• Strong people / interpersonal skil

• Experience exercising discretion and confidentiality with sensitive company information

• Additional qualifications as Personal Assistant or Secretary
