POSITION OVERVIEW 

The Executive Assistant provides high-level administrative support to executive(s). Responsible for managing calendars, scheduling appointments, coordinating travel arrangements, and handling confidential information.  

KEY RESPONSIBILITIES 

  • Coordinate and manage calendar(s), anticipating and proactively resolving conflicts to ensure time is used efficiently. 
  • Coordinate domestic and international travel arrangements to include accommodations, transportation, and meals. 
  • Reconcile and submit expenses in Concur. 
  • Organize in-person staff meetings, onsite and offsite client meetings, or shoots by arranging for facilities, technology support, travel, issuing invitations, and disseminating information.  
  • Act as the point of contact between the executive(s) and internal and external stakeholders. 
  • Organize and maintain files, projects, memberships and renewals. 
  • Maintains email distribution and phone lists.  
  • Partner with key departments such as office services, security, and IT to collaborate, acquire information, problem solve, and achieve desired results. 
  • May supervise other administrative staff, to include hiring and completion of performance appraisal process. 

WHAT YOU WILL NEED: 

  • 4+ years of experience as an Executive Assistant supporting senior level executives. 
  • Customer-centric approach to requests, balancing priorities with urgencies and maintaining the highest degree of care to stakeholders. 
  • Handle sensitive and confidential information with discretion and while maintaining a high level of professionalism at all times. 
  • Excellent written and verbal communication skills. 
  • Strong interpersonal skills; ability to collaborate well with others. 
  • Strong organizational and leadership skills, follow-through and demonstrated ability to multi-task and meet deadlines, time management. 
  • Proficiency in Microsoft Office Suite required, especially PowerPoint, Teams, Word, MS Office and other features.

The base salary for this position at the time of this posting may range from $70,000 to $90,000. Individual compensation varies based on job-related factors, including location, business needs, level of responsibility, experience, and qualifications.
