Executive Assistant - Leadership Team

JOB SUMMARY

The Executive Assistant role provides organized and professional support to the HexArmor Leadership Team, consisting of the Executives and Vice Presidents, by keeping all of the day-to-day, behind-the-scenes work moving along effectively within the group. This role works closely with our executives and VPs, helping them to stay organized and ensuring everything is running smoothly on the personal and business front. This individual is focused on and dedicated to ensuring success in an ever-changing environment, anticipating needs, and solving problems whenever they arise. This position be fully onsite and will report to the Senior Executive Assistant.

JOB RESPONSIBILITIES

• Provide backup front desk coverage
• Filing
• Ordering product samples
• Liaison with Worksighted (third party IT services) for computer issues
• Liaison with Event Planner for corporate events and meetings
• Schedule meetings and manage executives' and VP’s calendars
• Coordinate meeting agendas and logistics
• Make travel and lodging arrangements for leadership team and external contacts
• Format memos, emails, presentations, and reports for internal and external communication
• Create expense reports

REQUIREMENTS

• Proven experience in an Executive/Personal Assistant position (5+ years)
• Highly proficient in entire Microsoft Office Suite
• Strong ability to prioritize daily workload with excellent planning skills
• High-level verbal and written communications skills
• Proactive with the ability to learn and predict the day-to-day needs of the role
• Comfortable working with high-level figures both in and outside the company
• Extremely detail oriented
• High level of confidentiality

EDUCATION REQUIREMENTS

• Associate’s degree, Bachelor's degree preferred
