The Role

Midi is currently seeking an Executive Assistant & Office Manager reporting to the CEO. This role is integral to the seamless operation of the CEO’s office and oversight of day-to-day operations of our Bay Area office.

Responsibilities

  • Manage the CEO’s calendar, schedule meetings and coordinate appointments
  • Arrange complex, high volume travel itineraries including flights, accommodations and transportation. Prepare travel documents and expense reports in accordance with Company policies.
  • Responsible for preparation for speaking engagements and liaising with key contacts to submit bios, headshots, and registrations.
  • Maintain a clean, organized and well functioning office environment. Manage office supplies and equipment; ensuring adequate stock at all times. Coordinate with vendors and service providers for office maintenance and repairs. 
  • Plan and organize office events, such as happy hours, team lunches, and ensure the office is prepared for instances of high volume visits.
  • Coordinate shipping to investors, events, and individuals as needed.

Qualifications 

  • 8+ years experience as an Executive Assistant supporting a CEO; 2+ years office management experience 
  • Prior experience in a start up strongly preferred 
  • Must be based in the Bay Area and available to work on-site at least 3 days/week. 
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively and proactively anticipate needs in a fast-paced environment 
  • Discretion and integrity when handling confidential and sensitive information
  • Excellent written and verbal communication skills with strong attention to detail 
  • Demonstrated experience with G-Suite, Expensify, and Slack
