We are looking for an exceptional Executive Assistant to be the right hand to our Chief Commercial Officer (CCO). While the primary focus will be on supporting the CCO, this role will sometimes extend its expertise to assist other executives when necessary. Acting as both a partner and a resource, this role will require a sharp, experienced Executive Assistant who enjoys solving complex problems and is motivated by flawless execution.

What You Will Do:

  • Ensure the executives’ time is aligned with their priorities through a demonstrated understanding of the core business and leveraging expert prioritization strategies
  • Ensure their schedules are followed and respected in a “gatekeeper” and “gateway” role
  • Enable the executives to focus on the company’s mission through proactive engagement in and management of administrative responsibilities
  • Provide a wide range of administrative support and assistance including but not limited to strategic calendar management, scheduling and coordinating both domestic and international travel bookings, an ability to draft high-priority (and often confidential) correspondences
  • Provide a bridge for smooth communication between the executives and both internal and external stakeholders
  • When the CCO is in New York: Increase the bandwidth of the CCO by anticipating needs and taking ownership of planning, executing, and delegating activities, creating an extra layer of accountability
  • Organized, concise, and professional communication, coordination, and collaboration with all levels - up to and including the board of directors
  • Maximize efficiency by building out systems and processes for increased organization and unified workstreams 
  • Provide current agendas and necessary materials before meetings; prepare and compile presentation documents 
  • Review e-mails for priority information and meeting requests as directed 
  • Complete and reconcile invoices and expense reports 
  • Problem-solving, troubleshooting as needed 
  • Perform other duties and responsibilities as assigned

What You Will Need:

  • 7+ years prior experience as an executive assistant supporting multiple executives in a fast-paced, dynamic environment. Public company C-level support experience preferred
  • Advanced skills with G-Suite tools and Microsoft Office (particularly Excel and PowerPoint) 
  • Hold a “no task is too small” mentality and not be afraid to roll up your sleeves to help support our growing business
  • You’re a superstar relationship builder, resourceful, enthusiastic, and have a passion for helping others
  • Self-motivated and with an innate can-do attitude 
  • Ability to drive projects to completion with urgency and the mindset for constructive and direct feedback
  • You have a mindset for giving and receiving constructive and direct feedback
  • You have excellent verbal and written communication skills
  • You can manage calendars, travel arrangements, and organization seamlessly 
  • You can exercise sound critical thinking and judgment while managing various competing & demanding priorities
  • Demonstrated ability to maintain a high level of professionalism and confidentiality 
  • Ability to anticipate Executive's needs
  • Ability to work at our New York City office 2x per week

  • The base pay range for this position is $95,000-$125,000 per year. The determination of what a specific employee in this job classification is paid and titled depends on a number of factors, including, but not limited to, prior employment history/job-related knowledge, qualifications and skills, length of service, and geographic location.  position is eligible for quarterly bonuses based on specified benchmarks, in accordance with all applicable bonus terms and conditions
