About the Role

We are seeking a driven, organized, motivated person to join Particle Health in our very first Executive Assistant role!! This position is based in our NYC office.

This is a unique opportunity to work very closely with our CEO, Troy Bannister, providing comprehensive support to ensure he is set up for success each day. From managing his inbox, to scheduling meetings, to assisting with research and deck preparation before meetings with clients, the board or giving talks at conferences, your role will be vital to the continued success and future of the organization.

While you have at least a year or two of professional experience post-college, you do not need to have previous experience as an admin/executive assistant! You may have spent the past couple years working in a consulting firm. Or perhaps another startup. You may be entrepreneurial and looking to use your top-notch aptitude for attention to detail in a role where you can make a difference while also learning the ropes from a successful CEO!  Regardless of where you have been working, you are ultimately a problem solver with a natural instinct for making the puzzle pieces fit.   You communicate and respond effectively and efficiently across all levels, while maintaining flexibility and a sense of humor. And whether you use color-coded sticky notes, a bullet journal, or another method to keep it all in order, let’s face it – you’ve probably always been the most organized person in the room.  📌📑

Areas of Responsibility
  • Manage CEO’s inbox – organize and prioritize emails and incoming requests; correspond and coordinate with internal and external parties (including employees, customers, investors, and other key stakeholders), including drafting emails and other written correspondence on CEO’s behalf.
  • Manage CEO’s calendar – schedule meetings, prioritize meeting requests, develop a structured weekly/monthly calendar cadence.
  • Facilitate coordination for onsite meetings as needed – reserve/book meeting rooms, ensure any required equipment is available / setup, coordinate catering and delivery as needed, etc. 
  • Assist CEO with meeting preparation, including research, agendas, and slide deck creation, etc.
  • Join the CEO in requested meetings, taking notes and managing follow ups (communication, action items, and execution).
  • Book and manage travel arrangements and reservations for the CEO. Assist with expense reports.
  • Provide general administrative support including but not limited to: preparation, distribution of memos, email, reports, agendas, supporting travel with booking transportation, lodging. 
  • Continually iterate and advance processes to optimize daily operations for the CEO.
  • Assist with special projects and other duties as assigned.
Qualifications 
  • Must be able to work from our NYC office 1-3 days a week. 📍
  • 1-2+ years of professional experience
  • Bachelor’s Degree 
  • Demonstrated ability to be a trusted partner to the CEO
  • Interest in learning more about the health-tech industry
  • Strong organizational, analytical, and problem solving skills and attention to detail
  • Exceptional written and verbal communication skills
  • An enthusiastic can-do attitude and excitement about being part of a mission-driven organization 
  • Experience with Google Workspace and MacBook / iOS

Bonus points if you have:

  • Prior experience in consulting, start-up, or health-tech is a plus
  • Prior experience supporting a CEO or leader
  • Interest in founding a startup later in your career
