We are looking for an Executive Assistant (maternity cover) to support our CFO, ensuring smooth operations, strategic time management, and operational excellence in a dynamic, international environment.

We play a critical role in the executive’s daily activities by owning their inboxes, calendars, and travel management, and by supporting them with a variety of tasks and projects as needed. We are seeking a self-motivated individual with good judgment, an eye for detail, professional integrity, and an exceptional ability to get things done to join our team. Your mission

  • Strategically manage the CFO’s complex calendar and inbox, coordinating both internal and external stakeholders and meetings across multiple time zones.
  • Manage all travel preparation and expense reporting.
  • Optimize the executive’s schedules through efficient scheduling and prioritization with a solid understanding of the business context and priorities.
  • Serve as the primary point of contact for all questions related to the CFO’s schedule and logistics.
  • Manage logistics around department events, summits, and workshops.
  • Plan and prepare team and department meetings, including agendas, slide decks, and follow-ups.
  • Drive improvements to existing processes and increase operational efficiency across the CFO’s and department’s workflows.
  • Assist in all administrative support functions.
  • Handle ad hoc requests and drive projects as needed.
  • Offer support on a variety of personal matters and supervise the Private Assistant and her tasks.
  • Work alongside a team of Executive Assistants, share best practices, and cover when required.

Your toolkit

  • 3-5 years of experience as an Executive Assistant supporting management and/or founder roles.
  • Fluent in English and German.
  • Excellent planning and prioritization skills, requiring little guidance.
  • Organized and always one step ahead, constantly reviewing all activities and improving efficiency.
  • Strong attention to detail and ability to work efficiently and accurately under pressure and tight deadlines.
  • Excellent communication skills with stakeholders internally and externally, including senior leadership.
  • Able to prioritize and balance conflicting demands, even on short notice, with a calm and solution-oriented mindset.
  • Comfortable working in a fast-paced, sometimes ambiguous environment with changing priorities.
  • Strong sense of responsibility, high level of commitment, and integrity.
  • Positive and proactive attitude with a solution-oriented approach.
  • Maintains absolute discretion and confidentiality at all times.
  • Can collaborate effectively in a team environment and contribute to a supportive EA team culture.
  • Tech-savvy and confident using G Suite, MS Office, and collaboration tools.
  • Uses AI regularly to improve day-to-day work outcomes and is curious to explore new tools and ways of working.

This role is a ~1+ year fixed-term contract (maternity cover).
