About the RoleThe Executive Assistant to the CEO provides administrative support and serves as a primary point of contact for our Board of Directors, clients, personal contacts, and other external constituencies. The ideal candidate should have extensive experience interacting with high level executives and be able to manage through tact, anticipation of needs, strong attention to detail, and a high level of confidentiality. This role will often be communicating, scheduling, and collaborating with our team, clients, potential clients, and investors.
Given the dynamic nature of the executive landscape, this role must be flexible and consistent, and requires a 24/7 mentality.
Responsibilities- Manage active and ever-changing calendars of the CEO with a high level of detail, coordinating and prioritizing daily tasks, personal and professional, while proactively resolving conflicts and ensuring all relevant parties are informed.
- Keep the CEO on schedule, manage multiple requests, and anticipate changing needs.
- Monitor inbox and flag necessary follow ups, answer, and route correspondence appropriately.
- Arrange complex and detailed travel plans, including domestic and international itineraries and visas.
- Compile and process expense reports, ensuring accuracy and adherence to company policies.
- Help move along deliverables, facilitate special requests, and contribute to and execute on last-minute ideas.
- Handle occasional personal tasks during the workday to ensure that the executive is supported and can remain laser-focused on the business.
- Handle highly sensitive and confidential information with the utmost discretion and professionalism.
- Collaborate with other executive assistants to ensure cross-departmental needs are met and provide backup support as needed.
- Undergraduate college degree
- Prior experience as an Executive Assistant working with C-suite level members
- Proficient with Microsoft Office (Word, Outlook, Excel, & PowerPoint)
- Excellent written, verbal, and interpersonal communication skills
- Track record of managing schedules and processes in a fast-paced environment
- Comfort operating within a dynamic environment and executing in situations where paths are uncharted
- Able and willing to provide executive support beyond the scope of a typical workday
The base salary range for this role is $100,000 to $125,000. iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus.
