The Opportunity

We are looking for an experienced Executive Assistant (EA) to support our US-based Co-Chief Executive Officer and coordinate practices and programs related to the office’s administrative staff. This position is about making an impact and helping Hamilton Lane run smoothly by supporting leadership and maximizing productivity. This individual will additionally play a lead role in organizing social events for the headquarters office.

Your Accountabilities will include:

Executive Assistance to the Co-CEO

Maintain steady communication with the Co-CEO; efficiently administer his calendar, managing multiple competing priorities and ensuring he is where he needs to be.

  • Act as a point of contact for executives, employees, clients and other external partners
  • Complete complex administrative tasks/projects quickly and with autonomy
  • Demonstrate good judgement about which situations are urgent and require quick action. Act without having to know the total picture.
  • Manage complex executive expenses; process on time and with accuracy
  • Coordinate complex travel arrangements
  • Manage the processing of invoices, stationery orders and other ad hoc requests

EA Coordination

Serve as player/coach, be respected by other Executive Assistants and trusted to align their interests with those of the broader organization

  • Partner with Accounts/Payable, Human Resources, IT, etc. to align internal policies with EA practices and communicate to EAs.
  • Monitor EA coverage assignments; periodically modify plans to rebalance coverage and ensure the firm’s executives have the needed support
  • Partner with Human Resources to plan EA headcount and lead recruitment
  • Plan and host regular EA gatherings (monthly/quarterly); provide updates, share new policies and best practices, deliver educational resources.
  • Represent EA professional needs and interests with key executives and departments
  • Provide EA training opportunities to enhance their development and performance
  • Partner with HR to address employee relations matters impacting or involving EAs

Office Social

  • Partner with Events and Communications to plan social experiences that are appropriate for the workplace and that resonate well with colleagues

Your Background will include:

  • 7+ years’ experience as an administrative professional in Financial, Professional Services, or related sectors; prior experience with a C-suite executive is preferred
  • Exemplary planning, time management, and work prioritization abilities
  • Strong attention to detail and sense of urgency
  • A passion to learn, to contribute and to reinforce the culture throughout your interactions
  • Discretion and confidentiality
  • Excellent knowledge of MS Office and Zoom
