We are seeking an Executive Business Partner (EBP) role to provide high level strategic and administrative support to the Sr. Director, Communications.

In this role, the EBP will support the Sr. Director across their full range of work—internal leadership and external relations —ensuring follow-through, prioritization, increased bandwidth and effective coordination of all engagements, work products, and travel. Responsibilities include strategic thinking, proactive problem solving, time programming, and strategic counsel, in addition to day-to-day action items like tracking, calendar management, agenda planning, and support with travel planning, logistics, and expense tracking. The EBP will serve as Sr. Director’s proxy as appropriate and will work with the Sr. Director to program their time to lead and support the Principal’s Communications Team. The EBP will also bolster the work of the team broadly to ensure it has systems that enable it to operate effectively, strategically, and sustainably. This role will represent the Principal’s Communications Team with media, external partners, and peer organizations and requires a high caliber of oral and written communication skills and follow-through.

To be successful in this role you will need to be a self-starter, understand the complexity of the Senior Director’s role and how to navigate the organization, and understand the opportunities of the Principal's Communications Team to advance leadership, influence, and voice. The role will require a high degree of judgment, discretion, energy, flexibility, confidence, and the ability to serve as an honest broker. You will be required to juggle multiple balls and to prioritize across competing interests and opportunities. The Senior Director will look to the EBP to help them determine their best use of time and how the team’s agenda can best be advanced.

ROLE RESPONSIBILITIES

Provide Senior Director, Communications with Strategic and Executive Support

  • Act as Sr. Director’s key thought partner, confidant, and problem-solver on a wide range of topics to support their leadership.
  • Deliver strategic calendar management and track action items, maximizing effectiveness by identifying, balancing, and driving priorities, and strategically aligning time against these priorities.
  • Facilitate approvals and information flow across the team and advise on engaging Sr. Director as a stakeholder on projects.
  • Review, design, and execute solutions and improvements to cross-team and cross-org challenges; regularly give forward-thinking input, recommendations, and constructive feedback to push the team forward.
  • Provide meeting support and distribute materials in advance of meetings on Sr. Director’s daily calendar.
  • Draft, edit, and finalize briefs, documents, and other materials, as requested.
  • Coordinate travel planning and schedules for Sr. Director, including transportation, accommodations, conference/event registrations, travel documentation, etc.
  • Manage monthly individual expense tracking and approvals.
  • Administer Sr. Director’s contacts, network relationships, and touchpoints in the Customer Management Relationship (CRM) system.
  • Participate in the development and implementation of team policies and processes.
  • Represent the Sr. Director in cross-functional team meetings to ensure communication flow and transparency between teams.
  • Support planning for meetings and off-site team building events. 

Serve as strategic liaison with the Finance and Human Resources teams

  • Support the Sr. Director and Strategy, Measurement, and Ops team in budget development and management. This includes supporting development of systems for budget tracking, reporting, and financial oversight.
  • Drive awareness across the Principal Communications team of key HR programs and deadlines.

Advance the work of the Principal’s Communications Team broadly, helping ensure the team has systems that enable it to operate effectively, strategically and sustainably.

  • Serve as a key partner to the to the Comms Strategy, Measurement and Operations team to help define teamwide systems, policies, and operating models.
  • Support the team in effectively sharing information, increasing access, and encouraging joint problem solving.
  • Support development of a team culture that strengthens impact and fosters belonging, assuring the team has what it needs to effectively manage, advance, and deliver their work.
  • Foster a positive environment by modeling org cultural expectations and a “can do” attitude.
  • Attend meetings or trips as needed; assist with prep, provide support, and/or manage follow-ups for Sr. Director.
  • Manage special projects and other duties as assigned.

REQUIRED QUALIFICATIONS

  • Minimum of 5-7 years of combined experience in an administrative and executive support role with heavy emphasis on strategic thought partnership and strategic time management.
  • Must be able to pass Background Investigation including Criminal, Public Records and Credit Checks.

This role is expected to be full-time approximately 40 hours/week. Hourly compensation range for this role is from $52.88 - $55.96.
