True Brands is seeking a highly organized and dynamic Executive Coordinator with a strong focus on project management to join our team.
This role is designed to support our senior leadership, specifically the CEO, by managing a wide array of administrative duties and concurrently leading key projects. The ideal candidate will possess a blend of executive support experience and project management skills, enabling them to facilitate the efficient operation of our leadership team while ensuring the successful planning, execution, and completion of strategic projects. This role is ideal for a highly motivated Executive Assistant who thrives in a dynamic environment and is looking to leverage their project management skills to make a significant impact within our organization. This is a hybrid office position, candidates for this role will need to live within commuting distance of our Seattle office.
Key Responsibilities
- Executive Support Functions:
- Act as the primary point of contact for the CEO, managing communications with internal and external stakeholders.
- Efficiently manage the CEO's calendar, including scheduling appointments, meetings, and optimizing time management.
- Coordinate and prepare for meetings, including agenda setting, material preparation, and minute-taking for company events and offsites.
- Screen and prioritize emails and communications, ensuring timely and appropriate responses.
- Arrange comprehensive travel itineraries, including accommodations and transportation, tailored to the CEO’s requirements.
- Handle confidential information with discretion, maintaining privacy and security.
- Assist with personal tasks and errands for the CEO as needed.
- Project Management Duties:
- Lead and manage projects from inception to completion, ensuring they are completed on time, within scope, and budget.
- Develop project plans, outline tasks, and delegate responsibilities to appropriate team members.
- Monitor project progress, adjust plans as needed, and communicate updates to stakeholders.
- Conduct risk assessments and implement mitigation strategies to minimize project delays and cost overruns.
- Serve as a liaison between project teams, internal departments, and external partners to ensure clear communication and collaboration.
Required Skills and Experience:
- A minimum of 5 years of experience in an executive support role with demonstrated project management responsibilities.
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Strong organizational, time management, and multitasking skills, with the ability to prioritize tasks efficiently.
- Proficiency in both Microsoft Office and Google Workspace, and adept at learning new software and systems.
- Proven ability to handle confidential information with discretion and integrity.
- Exceptional analytical, problem-solving abilities, and a strong attention to detail.
- Leadership qualities with the ability to delegate tasks and motivate team members effectively.
Salary:
- Base Salary: $80,000 - $100,000 (exempt)
