Your Impactful Role
As an Executive Marketing Assistant in our Personal Injury department, you'll play a pivotal role in ensuring excellent patient and client relations. Your daily administrative support to our PI Marketing Manager and Executive Director of Administration will be instrumental in maintaining smooth operations and fostering positive interactions. You'll be responsible for a range of tasks, including:

  • Handling administrative duties such as correspondence preparation, processing, and mailing.
  • Managing data records for PI marketing cases to ensure accuracy.
  • Organizing complex activities such as meetings, events, and travel arrangements.
  • Coordinating schedules and providing backup coverage when needed.
  • Attending and managing PI Committee meetings.
  • Liaising with other departments to ensure timely documentation and information exchange.
  • Assisting with patient scheduling and paperwork.
  • Managing confidential information and sorting/distributing mail.

Additionally, you'll have the opportunity to contribute to marketing efforts by building and maintaining client relationships, assisting with digital marketing initiatives, and supporting various campaigns and events.

Your Team

In this role, you'll report directly to Alondra Harris, our Executive Director of Administration. While you won't have supervisory responsibilities, you'll collaborate closely with our Marketing Manager, physicians, and support staff to achieve common goals and strategic objectives. Your teamwork, communication, and problem-solving skills will be essential in maintaining a positive and productive work environment.

Qualifications

  • A high school diploma or GED; associate or bachelor's degree preferred.
  • Two to three years of executive support experience in a high-volume setting.
  • Basic knowledge of insurance plans, coverage, and procedures (experience in healthcare or Personal Injury cases is a plus).
  • Proficiency in MS Excel, PowerPoint, and Word, as well as Electronic Medical Records software.
