Why it matters: As an Executive Operations Coordinator, you will play a critical role in supporting the key members of the executive team, ensuring all aspects of their daily operations are executed effectively and efficiently. You will work closely with the ops team and other senior leaders, taking on responsibilities and projects that are critical to the company's growth and success.

Executive Support: Provide support to members of the executive team, acting as a partner in running their day-to-day operations.

• Calendar ownership and strategic scheduling.
• Compiling and submitting expense reports.
• Triaging IT issues
• Booking travel as needed.
• Drafting emails and written correspondence.

In-person meeting support: Work closely with the ops team to ensure all in-person meetings are staffed and run smoothly – booking conference rooms, working with building security, and hosting guests. This includes our quarterly board meetings.

Special projects: You will work closely with the ops team to support key initiatives and special projects – including planning and executing our company-wide retreats.

Time breakdown:

• 60% Executive support (scheduling, logistics, communication)
• 20% Meeting preparation and follow-up
• 20% Special projects

The details: Ideal candidates will embody an entrepreneurial spirit and passion for Axios HQ’s mission and values - raise the bar, stay curious, be inclusive, always, and champion each other - and have the following skills/experience:

• 1 - 2 years of experience as an Executive Assistant or Business Operations Associate preferred
• Experience working with commercial and product teams at a tech start-up is a plus.
• Multi-tasker - Strong organizational and project management skills with the ability to handle multiple tasks and projects simultaneously.
• Be discreet - You must be committed to maintaining a high level of confidentiality and discretion. You hear and know everything, but share nothing.
• Proactive communication. You must be able to communicate proactively and directly with stakeholders in order to keep things moving.
• Relationship building - The CEO needs to have a pulse on what is happening in the lives of our employees – did someone get married? Have a baby? It is your job to draft correspondence, schedule coffee check-ins, and send gifts when appropriate.
• Hyper-organized with the ability to prioritize multiple projects and tasks simultaneously.
• Ability to problem solve and make decisions independently, especially in a fast-paced environment.

Don’t forget: 

• Axios HQ believes in fair and equitable pay. Annual on-target earnings for this role is in the range of $60,000-$70,000 and is dependent on numerous factors, including but not limited to location, work experience, and skills.
• This is a hybrid position out of our Arlington, VA location - 3x days per week in office
