What are we looking for?
- BA/BS degree in related fields or relevant experience supporting senior leaders. Bachelor's degree required.
- Excellent organization and analytical skills, comfortable managing conflict and leading projects and initiatives.
- Effectively switch between tasks and adapt to changing priorities, while efficiently and effectively delivering results.
- Working knowledge of Word, Excel, PowerPoint, Outlook, MS Teams.
- Ability and interest in learning new tools and systems and managing frequent changes and upgrades.
- Integrity in handling confidential information sensitively.
- Comfortable providing feedback, directing, and engaging with senior leaders.
- Sensitive about cultures, and different ways of being and thinking.
- Curious about business, in general, and how decisions are made in global organizations.
- Excellent communication (oral and written) and presentation skills.
What will be your key responsibilities?
- Interfacing with leadership, internal staff, clients, key stakeholders, high-profile individuals, and important personal contacts
- Responsible and accountable for managing work projects, demonstrating management and leadership abilities to maintain momentum and move work forward intuitively.
- Managing NA leader's workflow (Internal systems, communication and interface with Corporate Affairs, Processes management and interface with P&O)
- Targeted approvals
- Organizational and Segments management
- Coordination with external commitments
- Support D30 Strategy (Coordination, logistics, operation and execution, project tracking)
- Expanded leadership team engagement and events.
- Accurately and proactively assess requirements for each work project or requests. Communicate effectively with requestors and service providers, addressing questions or issues promptly and professionally.
- Compose and edit documents and collaborate with appropriate teams to format, edit, proofread, and coordinate printing for presentations, proposals, and other requirements.
- Respond to emails based on Sr leader preferences and communication styles. Responsible for calendar meeting scheduling, including identifying and resolving scheduling conflicts.
- Regularly manage sensitive and confidential information appropriately and with high discretion.
- Arrange domestic and international travel - arrange flights, hotels & transfers.
- Plan and coordinate internal meeting logistics, conferences, meeting rooms, catering, and guest arrival arrangements.
- Event planning that includes hotel blocks, group transportation, property search, costs, meeting invites, negotiations and decision making.
- Other duties as required are based on capacity assessment.
