Executive Support Team Coordinator

This Executive Support Team Coordinator ย is a fast-paced, highly interactive role, that partners closely with the Executive Assistants and Corporate Facilities functions of the corporate office. In this role you will have direct exposure to all C-suite executives, and cross-functional leaders across departments, as the idea for this role is to help with executive support coverage across the enterprise.

Responsibilities
- Work alongside the Executive Support Team to learn the nuances of each team memberโs role to act as team-backup for the Executive Assistants and Office Managers as coverage is needed.
- Assist with calendar management and meeting coordination of executives across multiple time zones.
- Coordinate events, offsites, and conferences involving various departments.
- Plan and book domestic and international travel for executives; and build organized, detailed trip itineraries.
- Assist with purchase orders and invoice payments, as well as helping to process executive expenses.
- Build and maintain relationships with internal and external partners
- Respond to sensitive and highly confidential information with absolute discretion and tact.
- Support audio/visual and teleconferencing technologies for meeting and events in the office.
- Liaison with IT to ensure senior executive leaders are provided IT support in a timely manner.
- Complete ad hoc administrative requests & contributions to team projects in a timely and thorough manner
- Effectively manage relationships in a cordial and professional manner and consistently look for new ideas to further develop working relationships with the team and cross functional groups

- Excellent project and time management skills
- Strong Microsoft office skills are required: specifically, Outlook, Word, Excel and PowerPoint
- 2-4+ years of Administrative or Executive Assistant experience or similar work experience
Preferred Qualifications - What Will Set You Apart
- Bachelor's degree a plus
Working Conditions
- This role is hybrid (mixture of in-office and remote, with an expectation of at least 3 days a week in-office)
- Accessibility to be reached after hours and on the weekends as necessary
Physical Requirements
- Able to pull or push up to 50lbs over 100ft.
- Able to lift 25lbs overhead.
