Job Description

Shepard Exposition Services is seeking an Exhibits Coordinator to plan, price, source, produce, maintain, and manage exhibits services projects. The position will serve as a conduit and bridge between Operations and Exhibits Solutions Services.

Essential Job Duties

  • Create, execute, and revise project work plans
  • Provide the connectivity between Exhibits and shop, graphics, warehouse departments in all branches
  • Manages day-to-day operational aspects of all Exhibits projects
  • Updates Exhibits National Planning Boards based on 30, 60, 90-day activity
  • Effectively applies our methodology and enforces project timeline and quality standards
  • Ensures project documents are accurate and shared with branches
  • Manage existing outsource vendor network, including the development of additional resources; request estimates of custom elements needed by sales; complete appropriate paperwork for all ordered items, and trackback to estimate for correct billing; ensure timely and accurate invoicing
  • Responsible for the production download to Operations for all Exhibits projects
  • Track and report 3 Code TL reports for files
  • Recommend areas for improvement and solutions to enhance results with less cost
  • Manage Exhibits projects as needed in the field in a supervisory capacity
  • Manage project budget as needed. Assist with recap of expenses and expense reporting
  • Using OLP and Exhibits portal, maintain department planning activity and needs
  • Provides estimates as needed for projects - labor, rigging, etc.
  • Identify outside or additional resources as needed based on ESS portfolio of business; provide solutions to ensure a balance of staffing needs through the planning process
  • Manage work order process including writing and submitting work orders and keeping a log for WO deliverables
  • Assist with the creation of supervisor files and ordering all services
  • Use agendas to conduct effective and timely pre-event meetings for final preparations of all Exhibits projects and 3 codes
  • Provide expertise and knowledge to project in the developmental stage and through accurate pricing
  • All other duties as assigned

Requirements

  • At least 2 years of experience in field operations of trade events
  • At least 2 years of supervisory experience and ability to manage union and non-union labor
  • Experience in custom exhibits and systems
  • Ability to work in a fast-paced environment and meet deadlines
  • Excellent verbal and written communication skills
  • Ability to multi-task
  • Bachelor's degree in a related field; equivalent experience may be substituted for formal education
