Experiential Marketing Specialist
Job Description
- Assist in managing event project planning, tracking and execution from kick-off call to post-show debrief.
- Support and organize tradeshow participation including sponsorships, booth space, demo logistics, team dinners, miscellaneous event logistics, and post-show evaluations and reports.
- Assist with global events budget tracking, including creating POs, vendor onboarding, and AP troubleshooting.
- Coordinate booth design, construction, and services with all stakeholders and vendors involved in partnership with BU or regional marketing teams.
- Direct logistics for other miscellaneous meetings, dinners and symposiums.
- Support management of booth inventory/storage materials and recommend maintenance needs like repairs, disposal or graphic renewals.
- Manage giveaways selection, ordering and inventory with vendor.
- Support the hotel block booking process and/or coordinate rooming list with in-house travel team.
- Collaborate with sales enablement to provide show briefs and promotion to sales.
- Prepare kits and necessary on-site event material needs.
- Collaborate with internal digital and comms teams to coordinate cross-functionally, provide resources and execute deliverables, as needed.
Required Qualifications
- Bachelor's Degree or equivalent work experience in Marketing, Advertising, Communications, PR or related field
- 1-2 years of experience in event, tradeshow and/or meeting planning
- A passion for processes and the ability to multi-task efficiently
- A self-starter, able to work independently, asking questions when needed
- Strong project and time management skills
- Team player, willing to work collaboratively
- Strong customer service and communication skills to manage interactions between internal teams, suppliers, third party vendors and other contributors
- Ability to work in a highly matrixed and geographically diverse business environment
- Proficient in Microsoft Outlook, Word, PowerPoint, Excel, with capacity to learn applications such as SharePoint, Project Management Tools, Brand Folder and others
- Ability to travel both internationally and domestically 15-20% of time
