Our Office Operations team is seeking a Facilities Assistant to support our growing organization. In this role, you will lend a hand to our Facilities and Administrative personnel, enabling the team to raise the bar on employee amenities, comfort, and appearance of our office space. You’ll wear many hats and gain a breadth of experience in aspects of facility maintenance, hospitality, reception, and security. No two days will be alike! What you’ll do:
- Assist the Office Operations team in maintaining Optiver’s Chicago office space in clean, safe, attractive condition:
- Conduct maintenance checklists and safety walkthroughs on schedule
- Keep a thorough record of tasks, processes, complaints, and recurring duties using Atlassian JIRA and Wiki
- Respond to employee “customer service” requests regarding the physical space and amenities
- Liaise with service vendors and staff, file work orders for building services, follow up on outstanding services, verify satisfactory completion of requested work
- Maintain and stock first aid kits, copy rooms, conference rooms, and other amenity spaces throughout the office
- Support Reception operations at Optiver’s front desk:
- Answer phones, greet visitors and interview candidates, and maintain visitor logs
- Maintain a professional and welcoming environment in reception area and elevator lobby
- Appropriately respond to and escalate requests via multiple platforms, providing first-class customer service to employees and guests
- Utilize multiple carriers for incoming/outgoing shipments ranging in size from paper documents to multi-piece computer equipment and communicate shipment information accordingly
- Provide full coverage for Receptionist, Provision Specialist, and Facilities Coordinator during absences and planned vacations
Who you are:
- 1+ years’ experience in a corporate office environment supporting 300+ employees
- Strong customer service skills
- Clear written and verbal communication skills
- Keen attention to detail, robust powers of observation
- Proficiency with Outlook and confidence with Microsoft Suite
- Ability to quickly learn and use new technology
- Ability to stand, lift up to 50 lbs, stoop, bend, reach above your head, climb step stool
