Job Description

The Facilities Assistant will be responsible for supporting the day-to-day functions of the facilities and mailroom departments to ensure effective and efficient facility maintenance, security and delivery of services. This position is responsible for facilities activities such as life safety inspections, lighting, plumbing, HVAC, furniture set-ups for meetings and other maintenance duties.  The incumbent will be accountable for the maintenance of two buildings inside and outside with attention to maintaining a clean well-kept appearance in all areas of the buildings, entryways, and outdoor areas as well as running mailroom equipment, completing mail runs twice daily, and taking inventory of supplies and restocking items.

Principal Duties and Responsibilities: 

  • Respond and follow up appropriately to reports of facilities problems and facilities work requests.
  • Participate in maintenance inspections and daily walk throughs of facilities for safety hazards and regulation requirements.
  • Assist with set up for meetings, receptions, and events.
  • Maintain buildings including but not limited to life safety inspections, lighting, plumbing, HVAC, painting, wall patches, furniture assembly and office moves, recycling, disposal of hazardous material, such as fluorescent bulbs, in accordance with state regulations. 
  • Assist in securing the premises, monitoring for any safety concerns including suspicious behaviors and happenings, and respond to security alarms, and fire drills, in a timely manner. 
  • Must be available nights and weekends for maintenance malfunctions, and emergency situations. 
  • Assist mail room services including daily mail runs, operating mailroom equipment, answering questions, and sorting, logging, and distributing mail and packages.
  • Coordinate security card distribution for outside contractors and suppliers, as needed.
  • Maintain inventory of office and ergonomic supplies in a clean and organized manner. 

Knowledge, Skills, and Abilities: 

  • A minimum of one year of experience related to general office, or facility maintenance.
  • Mechanical and electrical aptitude. HVAC and electrical experience preferred.
  • The desire to take initiative and actively contribute to the team to meet company goals and objectives.
  • The ability to communicate effectively and professionally.
  • Basic computer skills and working knowledge of MS Office required.
  • Adaptive, creative, and flexible with a positive customer service attitude.
  • Ability to manage time and work effectively individually or in a team environment.

Working Conditions: 

  • Normal office environment with minimal exposure to excessive noise and temperature variations.
  • Willingness to travel among company sites as needed.
  • Will be required to stand and/or sit for extended periods.
  • Will be required to work with a Video Display Terminal.
  • May be required to do occasional reaching and bending.
  • May be required to occasionally exert physical effort (lifting/carrying) using appropriate equipment if needed.
  • Full-time is required.

Reporting Relationship: 

Facilities Manager with dotted line to Purchasing Manager for mailroom duties.
