FIA Group Description:

Bernstein Private Wealth Management is a premier investment management firm advising high-net-worth and ultra-high-net-worth clients. As an industry leader, we put people first and pride ourselves on selecting and developing high caliber talent. We are seeking a Foundation and Institutional Advisory (FIA) Administrative Coordinator (Coordinator) for Bernstein Private Wealth Management, a unit of AllianceBernstein, L.P. The Administrative Coordinator will work in a dynamic, trust-based partnership with members of the FIA team, including the servicing team and VP-level subject matter experts. As a liaison between the FIA team and both internal and external clients, the Coordinator plays a vital role in growing our FIA business.

The Coordinator will provide general administrative support to VP-level members of the FIA team and assist with specified ongoing business related tasks. This role will report to the FIA Manager with their workflow overseen by the FIA Senior Coordinator. Specific responsibilities may include:

  • Partner with onshore Senior Coordinator to communicate team member availability, schedule client meetings, internal meetings, prep meetings and maintain recurring meetings.

  • Set up national webinars, send invites, and post webinar content on internal intranet.

  • Support onshore FIA team members with formatting, updating, track, and archiving materials for both internal and external use.

  • Schedule travel plans to effectively manage team member’s calendars and ensure appropriate and timely accommodations are made.

  • File and process expenses reports for VP level+ FIA team members.

  • Track, approve, and document Resource Requests for FIA team members to measure team external engagement and nationwide Advisor utilization.

  • Maintain professional contact, clients, and prospect meetings and contact data in CRM system to capture client interaction and upkeep referral network. Tracking client references used in pitch settings.

  • Partner with onshore servicing team to Process national charitable requests for donations and sponsorships, facilitating conversations with local teams, Accounts Payable, Community and Civic Engagement, and Marketing teams.

This is an exciting and challenging opportunity to act as an integral part of a centralized team while partnering with FIA team members, Wealth Advisors, and servicing teams nationwide. The focus of this team is solely on servicing Foundation and Institutional Advisory existing and prospective clients (primarily private foundations, nonprofit organizations, membership associations, faith-based institutions).

Qualifications, Experience, Education:

This position requires:

  • 0-2 years’ experience

  • Shift –US shift, will support team members in across US time zones.

  • Working knowledge of Microsoft Outlook, Word, Excel and PowerPoint.

  • Design skills and professionalism in presentation building.

  • Excellent verbal and written communication skills for heavy internal client interaction.

  • Effective interpersonal skills and flexibility to adapt to a variety of personalities.

  • Strong organizational skills and attention to detail.

  • Capable of prioritizing and executing multiple tasks and projects in a dynamic, deadline-oriented environment.
