Administrative Services provides support to ZS professionals.
FRONT DESK ADMINISTRATIVE ASSISTANT
We seek an experienced administrative professional who energetic, organized and possesses superb people skills for our Princeton, NJ office. The Front Desk Administrative Assistant position requires in-office presence Monday through Friday to assist with operations for the office and front desk.
What You'll Do:
- Front desk reception (answering phones, greeting visitors, handling mail and deliveries).
- Completing administrative processes (email correspondence, creating spreadsheets for tracking and allocations).
- Catering coordination and facilities management assistance.
- Scheduling meetings and prep meeting rooms, event set-up.
- Concierge for meeting rooms and manages meeting room bookings
- Supporting meetings with stakeholders from other offices
- Order and maintain office supplies (invoice reconciliation).
- Hours are 8:30 am - 5:30 pm.
What You'll Bring:
- High school diploma required; post-secondary education or Associate's/bachelor's degree preferred.
- At least 1-3 years of relevant administrative or customer service work experience.
- Fluent in MSOffice (Word, PowerPoint, Excel, Forms and Outlook), MS Teams, and Sharepoint are a plus.
- Strong focus on Customer Service is a plus.
- Strong oral and written communication skills.
- Professional appearance and demeanor with ability to exercise good judgment and discretion.
- Attention to detail, dependability/punctuality.
- Initiative-taker and ability to support a wide variety of tasks and meet aggressive deadlines.
- Experience working both independently and with a team in a demanding environment.
