Job Description

C3 AI is seeking an energetic Front Desk Coordinator to take care of the day-to-day operations of our headquarters while cultivating a functional and welcoming office environment. This person will serve as the first representative of C3 AI and is depended upon to be courteous, professional, and skilled. Our ideal candidate is a motivated self-starter, extremely organized, has a strong sense of urgency, and can prioritize daily, weekly, and monthly duties while maintaining strong attention to detail; someone who can maintain effective office operations, identify areas of improvement and anticipate the needs of the office with an upbeat and approachable attitude.

This role is based full-time onsite at our beautiful new headquarters in Redwood City, California.

Responsibilities:

  • Welcome visitors and ensure guests are signed in, comfortable, and connected with their host.
  • Provide professional, timely, courteous, and accurate service to employees and customers.
  • Work with the Facilities team to provide a clean, safe, and productive office environment for all employees; support supplies, conference room reservations, service calls, shipping and receiving, on-site events, ad-hoc needs of our satellite office locations, etc.
  • Serve as a resource to employees for facilities questions and feedback.
  • Oversee the Customer Experience Center: ensure a clean and welcoming environment at all times and support visitors and events in the space.
  • Be familiar with new hire onboarding processes and support day 1 processes including laptop and badge distribution, office navigation, and questions.
  • Answer incoming phone calls promptly and professionally and route them to the appropriate parties at C3 AI.
  • Provide backup Executive Administrative support as needed: executive travel, meeting schedules, expense reporting, ad hoc projects, etc.
Qualifications:

  • Bachelor's degree required with 1-3 years of related experience.
  • Strong written and verbal communication skills and phone etiquette with a client focus.
  • Excellent organizational skills, with an attention to detail.
  • Proficiency with Microsoft Office including Word, Excel, Outlook, and Teams.
  • Comfortable in a highly collaborative environment with the ability to work well with cross-functional teams.
  • Ability to prioritize, problem solve, and manage time effectively and work with minimal supervision.
  • Positive and enthusiastic attitude with the ability to adapt to changing project demands.
  • Mature, polished, and professional presence and disposition; punctual, dependable, and reliable.
  • Ability to maintain confidentiality and interface with all levels of personnel.

  • Generous equity plan.
  • Salary range: $70,000 - $90,000 USD.
