We are seeking a friendly, organized, and customer-focused individual to join our team as Front Desk Coordinator. You will be the first point of contact for visitors and callers, ensuring a positive and professional experience. This role involves managing various administrative tasks, including inventory management, mail processing, carrier invoicing, welcoming guests, and assisting with special projects as needed.
Key Responsibilities:
Greeting and Welcoming:
- Warmly welcome all visitors, clients, and employees as they arrive at the front desk area.
- Provide exceptional customer service by addressing inquiries and directing individuals to the appropriate departments or personnel.
- Ensure visitors sign in and issue visitor badges as needed.
- Maintain a polished and professional appearance in line with company standards.
- Offer beverages and assist guests while they wait
Invoice Processing:
- Process electronic checks and carrier invoices.
- Prepare invoices to be sent out to the correct parties.
- File and maintain all invoices received from carriers
Office and Inventory Management:
- Monitor and maintain office supplies, ensuring that inventory levels are adequate and reordering as necessary.
- Collaborate with different team to place orders and receive deliveries.
- Keep the reception area tidy and presentable at all times.
- Report any maintenance or repair needs to the appropriate department.
- Coordinate with cleaning staff to ensure a clean and organized workspace
Mail and Package Processing:
- Sort and distribute incoming mail and packages to appropriate recipients.
- Prepare outgoing mail, including coordinating shipments and postage.
- Manage and maintain accurate records of incoming and outgoing mail.
Administrative Support:
- Support various departments with administrative tasks, such as data entry, document formatting, and research.
- Collaborate with team members on company-wide initiatives and projects.
- Maintain confidentiality of sensitive information and documents.
- Assist in organizing meetings, appointments, and conference room bookings.
- Provide administrative support, such as photocopying, faxing, and scanning documents.
Qualifications:
- High school diploma or equivalent; additional education or relevant certifications are a plus.
- Proven experience in a receptionist or customer service role is preferred.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to interact with diverse individuals.
- Proficient in using office equipment, including multi-line phone systems, photocopiers, and printers.
- Basic computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Professional and courteous demeanor.
