ABOUT THE ROLE
JS Atlanta is seeking a personable and proactive Front Desk Receptionist to join our team in a part-time role. This position offers 32 hours per week with benefits and requires flexibility to work occasional early mornings, late evenings, and some Mondays.Â
Reporting directly to the COO, the Front Desk Receptionist plays a crucial role in maintaining a welcoming atmosphere and providing essential administrative support. POSITION RESPONSIBILITIES
- Welcome clients, vendors, job candidates, and other visitors at the front desk.Â
- Answer incoming phone calls to the office.Â
- Organize and coordinate meeting spaces, scheduling meetings in Outlook.Â
- Facilitate food orders for internal and external meetings upon request.Â
- Ensure the well-stocked and orderly maintenance of the kitchen and supply areas, including daily dishwasher duties and shelf organization.Â
- Collaborate with senior front desk support personnel to keep the front office organized and neat.Â
- Attend the Weekly Administrative Team Meeting.Â
- Provide administrative support to the COO and HR as needed.Â
- Act as the point of contact for external client off-site meetings, assisting with logistics such as security, meals, supplies, and meeting setup.Â
- Create welcome signs for various occasions.Â
- Contribute to the efficient day-to-day operation of the office, supporting management and other teams.Â
- Assist with HR interview schedules, ensuring smooth candidate meeting times.Â
- Enter work orders in Building Engines for various work requests.Â
- Manage parking/building access cards for new employees.Â
- Assist with other duties as needed.Â
EDUCATION
Completion of high school or equivalent, with some college coursework
WORK EXPERIENCE
Possess 1-3 years of experience in a customer service-oriented environment.Â
JOB REQUIREMENTS
Skills:Â
- Proficient use of basic project management techniques when collaborating with caterers and other vendors.Â
- Capability to lift packages weighing up to 25 pounds.Â
- Ability to reset meeting rooms, including moving chairs and rolling tables.Â
- Demonstrated proficiency in Microsoft Outlook, Office, PowerPoint, and Excel.Â
Communication Skills:Â
- Effective communication with both internal and external customers.Â
- Ability to articulate persuasive and well-structured arguments in emails, documents, or conversations.Â
Collaboration and Organization:Â
- Ability to have productive dialogues with colleagues and clients while efficiently prioritizing workloads.Â
- Ability to produce comprehensive notes and provide effective summaries of key takeaways and action items from internal and external meetings.Â
- Willingness to embrace learning
- Ability to coordinate basic processes on behalf of the Operations team and agency.Â
Employment Type: Part-Time (32 hours per week) with BenefitsÂ
Work Schedule: Tuesday-Friday, 8:30AM - 5:30PM
