This role will own and manage all bookkeeping functions including, but not limited to, client sales orders and invoicing, vendor bill pay, credit card transactions, and Bank. Bookkeeper job duties include working closely with our Finance team to create and analyze financial reports and ensure legal requirements compliance and manage invoices and tax payments. This role will be required to come into our office in downtown Chicago one day per week.

How You’ll Do It

  • Use Netsuite and Excel to perform A/P, A/R, bookkeeping and Month End Close related functions
  • Match & Categorize bank and credit card activity to NS on a regular basis, and do monthly reconciliations
  • Weekly payable bills processing: enter bills into NS, compile an approval report, and clear bills in NS after payment has been made
  • Monthly, weekly, and timely client invoicing through NS: Create sales orders as needed, and send client invoices monthly, Subsidiary invoices monthly and one-off invoicing weekly; receive client payments through various sources and book in NS
  • Run a weekly A/R Aging Report and follow-up with clients and/or Account Management on outstanding balances
  • Assist the finance manager in assembling monthly financials
  • Create offsetting journal entries for subsidiary purchasing
  • Enter data, maintain records and create reports and financial statements
  • Correct and file the correct forms with state tax agencies
  • Reconcile subsidiary spending
  • Assist in setting up new subsidiary files
  • Use Excel to pull and compile reports, and assist in month-end closing activities
  • Build on existing processes, and continue to improve them as necessary
  • Assist in other ad-hoc projects as needed

  • Learn current processes that are in place and make recommendations for process improvement to increase efficiencies in accounting related areas

Desired Skills & Experience

  • Associate’s degree, certification, or equivalent in bookkeeping or accounting1-3 years experience as a bookkeeper
  • Strong working excel knowledge
  • Familiarity with month end close documents
  • Experience with Netsuite & Stripe a plus
  • Due to/due from reconciliation knowledge a plus
