We are looking for an Global Benefits Manager to innovate, win and grow with us! Experienced global benefits manager will oversee Health and Welfare benefits and compliance (i.e. medical, pharmacy, dental, vision, life, AD&D, FSA, HSA, STD, LTD, EEO, LOAs, Affirmative Action, Vets, 401k Administration, fringe benefits and other voluntary benefits). The manager will contribute to the overall healthcare benefit strategy, while being responsible for analysis, and design; audit plans for accuracy; responsible for open enrollment, including system-related changes and employee communications. The individual will provide information and respond to questions/concerns; manage relationships with third-party vendors; remain current on and conduct impact studies of new state and federal legislation; maintain up-to-date plan documents, summary plan descriptions, and benefit summaries; act as point-of-contact for escalated claims resolution and policy/guideline interpretation; administer leave of absence.
Essential Job Functions:
- Extensive knowledge of US, EMEA and APAC benefits’ process and procedures.
- Actively drive the annual open enrollment process, involved in all phases of renewal discussions, benefits communication plan, conducting employee meetings, etc.
- Managing the US 401k plan from administration, compliance and testing.
- Ensure compliance requirements such as ACA and other federal/state requirements as needed. File all 5500's with support from vendor partners for H&W plans as well as retirement plans; manages the full life cycle of PPACA.
- Ensure policies and guidelines are appropriate and administered consistently and in compliance with all applicable state and federal laws.
- Responsible for the oversight and administration of the ancillary benefit programs: Ensures compliance with federal and state laws. Reviews all applications and forms to ensure requests meet plan qualifications.
- Work with broker to track benefits spend and analyze trends for all lines of coverage and provide recommendation of benefit selections during annual renewal.
- Responsible for the oversight and administration of the COBRA program (continuation of healthcare coverage for former plan participants). Ensure all required notices and administration is compliant and meets all federal requirements. Provide expertise and guidance to former plan participants as required.
- Responsible for the identification, implementation and maintenance of privacy policies and procedures in coordination with Legal. Ensures HIPAA legal documentation requirements are met.
- Ensure HIPAA compliance with other state and federal laws involving regulations under the Americans with Disabilities Act (ADA), Family and Medical Leave Act (FMLA), Employee Retirement Income Security Act (ERISA), and worker’s compensation.
- Ensures that employees comply with conditions set forth for approved leaves such as periodic medical documentation and fitness for duty prior to returning to work.
- Ensures the accuracy of all benefit enrollments is in the HR system to provide vendors with accurate eligibility information
- In partnership with Payroll, ensure that all benefit payables, deductions and adjustments/special payments have processed accurately
- Maintains awareness of and analyzes current and developing legislation and regulations affecting the benefit plans and protected leaves to assess their potential impact and makes necessary recommendations in implementing appropriate measures to comply.
- Participates in compliance reviews and technical-oriented compliance meetings.
- Coordinate and maintain AAP/EEO-1/VETS reporting in accordance with established deadlines
- Develop annual Affirmative Action program narrative reports, including supporting documents
- 401k Administration Including Plan Administration
- Health and Wellness Accrual and reconciliations monthly
Required Skills:
- 10+ years’ relevant experience and demonstrated expertise in the administration of health, welfare, and fringe benefit programs; familiarity with benefits market and trends; knowledge of federal and state regulations and terminology governing benefit plans (ACA, COBRA, ERISA,HIPAA, IRC Code 125, etc.) and compliance
- Strong project management skills having managed significant benefits projects
- Effective organizational and interpersonal skills including written and verbal communication skills
- Self-motivated and directed with the ability to work independently and within a cross functional team in a fast paced environment
- Detail oriented with the ability to prioritize work and accurately complete multiple tasks
