The Role:
The Global Learning and Development and IDEA Coordinator supports both the Global L&D team and the Global DE&I (IDEA) team and provides administrative assistance to the Chief Learning and Chief Inclusion Officers. This position has the unique opportunity to support a wide variety of L&D and DEI initiatives and help shape the culture of learning and inclusion. This person must be able to commit to coming in to the office a minimum of 8 days per month. Responsibilities will include being a liaison across BCW's regions and markets globally as well as with external partners, our parent company WPP, and the Global L&D and IDEA Collective teams to support employee growth, cultural competency and skill development in meaningful ways.

What is the work?
Project management
- Create timelines for key initiatives and coordinate with BCW regional points of contact
Internal communications
- Support content, drafting, design L&D and IDEA emails and newsletters
- Liaison with BCW marketing communications team and manage the internal comms channels messaging for L&D and IDEA. Manage Salesforce email communications process for internal communications.
- Manage L&D and IDEA initiative calendar invites, TEAMs virtual event production management
Vendor payments, licenses, and systems
- Set up new vendors in BCW invoicing system.
- Liaise with vendors and BCW Finance to submit invoices/purchase orders and ensure vendors are paid on time.
Executive Assistant to Chief Learning Officer (CLO) and Chief Inclusion Officer (CIO)
- Schedule meetings
- Submit expense reports and timesheets
- Organize travel and car reservations
- Assist with any additional professional needs
Global L&D and IDEA Team support
- Manage recurring invites, Teams channels members, and team OneNote access
- Prepare weekly agendas for recurring meetings and take detailed notes
- Organize and monitor Global L&D Outlook inbox and IDEA/Polycultural email alias requests and needs
L&D Specific Responsibilities:
- Learning program support
- Co-lead LMS platform admin duties globally
- Research and Reporting
- Create timelines for participant nomination and registration for external and internal programs and coordinate with BCW regional points of contact
- Liaise with external programs to solicit information, secure seats for learners, and submit participant information
- Support instructional design and course development
- Track learning data, and provide analysis and reporting
- Manage global learning calendars, invites, and attendees
- Upload and manage learning catalogues and all related content
- Distribute and revoke BCW user licenses across regions for various subscription services such as LinkedIn Learning, Coursera AI, and others
- Monitor learner engagement and communicate with license holders and regional points of contact to ensure licenses are being utilized or reassigned appropriately
- Compile information/data as needed. This may involve file audits, soliciting information via Teams calls, chats, or email, etc.
- Organize and share out data via Excel tables/charts
- Run reports in platforms such as LinkedIn Learning and EasyGenerator and share out findings
IDEA/Polycultural Responsibilities:
- ERGs and Think Tanks- partner with the IDEA Senior Program Manager to support coordination of initiatives, communications and invites in North America
- IDEA Communications- maintain the IDEA Global Library, uploads of content for internal communications and IDEA content.
- Global Learning Experiences (e.g. Destination Inclusion)- contribute to the ideation, project management, content and communications to global IDEA community. Includes newsletter content/design, coordination of global initiatives and activations. Track and report metrics.
- Client support for DEI and Polycultural
- Maintain and update client tracker and KPI metrics and liase with Polycultural Consulting Unit team and EVP of Polycultural Consulting Unit
- Maintain and update capabilities and resources for client team requests.

- Highly organized and able to manage competing priorities and meet deadlines.
- Proactively moves tasks forward independently and takes initiative.
- Experience processing payments for and liaising with external vendors
- Excellent communication skills
- Experience/interest in instructional design, professional development and Global DEI
- Experience/interest in global cultural identities, English as a second language and demographic identities
- Preferred: Proficient in MS Excel, PowerPoint, Teams, OneNote and Sharepoint
- Preferred: Experience working in the backend of a Learning Management System (LMS)
- Preferred: Non-US lived experience or marginalized demographic lived experience

The base salary for this position at the time of this posting may range from $40,000 to $85,000. Individual compensation varies based on job-related factors, including location, business needs, level of responsibility, experience, and qualifications.
