Job Description

Are you looking to play a key role on the small corporate HQ team of a rapidly-growing government contractor handling all of our invoicing, bookkeeping, and payroll? Well, AvantGarde, LLC has the job for you! Come be our corporate "glue" and keep all of our invoicing, bookkeeping, and payroll wheels turning and arm our leadership with the critical budget forecasting and analysis they need to manage their teams. You will create and submit complex government client invoices, process payroll, handle AP/AR, create critical labor and project budget utilization projections, maintain the company's books using QuickBooks, liaise with our external accountant and auditors, maintain business licenses, coordinate the office lease, reconcile monthly expenses, and moreYou will work mostly remote going into our Rockville, MD office 1 day a week, or more as you see necessary, and work extremely closely with the VP/Co-owner, Director of Human Capital, and CEO.

The WORK

  • Invoicing: Prepare and submit monthly invoices with performance reports to government clients in compliance with contractual and FAR regulations. Review contract documents for information or changes related to invoicing. Analyze revenue reports during invoicing to understand and communicate unbilled balances.
  • Accounting & Financial Management: Report and track company expenditures, maintain the Company's books in QuickBooks (desk version vs virtual), develop and track project burn rate and budget utilization spreadsheets, prepare the Company's annual budget and update the budget with actuals each quarter for the CEO (in close collaboration with VP), process accounts payable and receivable, reimburse employee expenses, reconcile bank statements and balance sheet accounts, process payroll, produce accounting and financial reports, handle worker's compensation and other audits.
  • Financial/Contract Records Management: Establish and update corporate records management processes, policies and protocols for accounting, finance, contracts, invoicing, vendors, payroll.
  • Information Resource: Provide information to members of AG management team regarding past performances on contracts, pricing, contract information, POCs.
  • Office & Business Management: Provide a wide variety of business-critical support to the principals and general office management duties, including but not limited to obtaining and maintaining business and/or business licenses for states in which the Company operates, maintaining office supplies, serving as liaison with building management, supporting company social events.
  • Timekeeping: Serve as backup to the HR Associate/Benefits Administrator on timekeeping and HRMS administration.
Skills & Requirements

The REQUIREMENTS

  • Bachelor's degree in Accounting, Business Management or related field and 5+ years of hands-on experience supporting a business with invoicing, payroll and bookkeeping; or the equivalent combination of education, training and experience.
  • Proficiency using QuickBooks.
  • Strong invoicing, financial, accounting, payroll, and timekeeping management skills.
  • Experience working for a government contractor is a plus.
  • Relentless attention to detail and superior organizational skills.
  • Proficiency using the MS Office suite of applications, including setting up pivot tables and complex formulas in MS Excel.
  • Collaborative, team-oriented work style with a passion for providing superior service to management and colleagues, ability to work in a fast-paced fast growing business environment and juggle multiple priorities.
  • Demonstrated experience and success working in a position that requires a high degree of trust, ethics, discretion, and independence.
  • Operate a PC in an office environment in a primarily sedentary position.
  • Some bending, light lifting and carrying of equipment may be required on occasion.
