The HOA Coordinator II is responsible for Homeowners Association (HOA) and City Code Violations, HOA Assessments, Correspondence Intake, and assorted Escalation items pertaining to HOA matters. These duties may be assigned in whole or in part to an individual coordinator as needed based off departmental needs. The HOA Coordinator II is a subject matter expert in at least one operational responsibility group (i.e., Intake, Compliance, Escalations, Assessments), and effectively assists in training new hires.
Responsibilities:
- Monitors CRM Compliance Dashboard daily to respond to and follow up on all violation/rental/city code related activities. All entries in CRM must be properly documented and noted. Entries that remain open must be followed up on at least every two weeks. The Compliance Team violation quota must be met on a daily basis.
- Reviews account balances and coordinates payments made to the HOAs and Municipalities when they are related to violations, rental registrations, amenities, etc. Submits weekly spreadsheets and mails out checks to complete payments to the HOAs and Municipalities.
- Works with the Maintenance and Field Teams to resolve HOA and City Code Violations. Follows up via email when necessary. Requests holds and/or extension from the HOA when necessary.
- Processes mail and other correspondence items related to HOA matters from the associations in which company homes are located. Includes daily scanning and classification of received correspondence.
- Communicates with tenants and/or internal departments to expedite the compliance process and reduce fine costs.
- Processes and addresses HOA and City Code related calls that are cold transferred to the Department for resolution. Monitors and resolves requests submitted in Jira related to amenity payments, tenant chargeback disputes, etc. Completes ARC forms and tenant forms for HOA's as needed.
- Trains new hires and acts as a subject matter expert in their operational responsibility group. Assist other departments with training and/or HOA process updates.
- Provide quality control review of the work of HOA Coordinators, assisting the HOA Supervisor in reviewing previously completed work product.
- Runs reoccurring operational reporting; Performs ad hoc reporting; Conducts ad hoc research.
Requirements:
- High School diploma or GED required.
- Proficiency in Microsoft Office (Word, Outlook, and Excel) required.
- Bachelor's Degree preferred.
- Prior HOA experience of at least one (1) year preferred.
- Microsoft CRM Dynamics, Yardi a plus.
- Prior experience in Customer Service a plus.
- Excellent verbal and written communication, problem-solving, planning and analysis skills.
- Strong relationship management, organizing and customer service skills.
- Must be able to meet multiple deadlines.
- Must be able to maintain confidentiality.
- Must be able to implement process improvement changes.
- Must be able to work in a team environment.
- Must be able to pay close attention to details.
- Must be able to adapt and flex to a changing environment.
